St. Paul's Episcopal Church is one of the largest Episcopal parishes in the Diocese of Ohio, situated on a 4.15-acre campus in Cleveland Heights. The Facilities Manager oversees approximately 61,000 square feet of buildings, including the church's main facility of approximately 53,000 square feet (basement and three floors) and the adjacent Coventry House, a 7,750-square-foot building (also basement and three floors). The campus includes worship, education, office, fellowship, and community spaces that support an active congregation and numerous ministry programs throughout the week.
The size and complexity of our campus require a leader who is skilled in preventative maintenance planning, building systems oversight, vendor management, and the coordination of multiple projects while ensuring our facilities remain safe, welcoming, and well maintained for both parishioners and the broader community.
Position Summary
The Facilities & Campus Operations Manager is responsible for the day-to-day care, safety, functionality, and appearance of all church buildings and grounds. This position provides operational leadership for the church campus by coordinating preventative maintenance, custodial services, building systems, vendor relationships, room setup, and long-term capital maintenance planning.
Working collaboratively with clergy, staff, volunteers, the Vestry, and outside contractors, the Facilities & Campus Operations Manager ensures that St. Paul's remains a safe, welcoming, accessible, and well-maintained environment that supports worship, ministry, education, outreach, fellowship, and community use.

Supervises: Sextons Staff, contracted maintenance personnel, and facility volunteers (as assigned).
The Facilities & Campus Operations Manager is responsible for providing effective supervision through clear communication of expectations, regular coaching, performance evaluation, accountability, and professional development to ensure a high-performing facilities team.
Work Schedule: The Facilities & Campus Operations Manager is expected to maintain a regular on-site presence during the church's principal worship services and activities. Regular Sunday work is an essential component of this position, along with occasional evenings, holidays, and weekends to support worship services, weddings, funerals, parish events, and emergency facility needs. Flexible scheduling during the workweek will be provided, as appropriate, to accommodate these responsibilities.
Facilities & Building Systems
- Oversee the daily operation of all church buildings and grounds.
- Monitor and maintain HVAC, electrical, plumbing, lighting, doors, locks, roofing, mechanical systems, elevators, and other building infrastructure.
- Coordinate preventative maintenance schedules and maintain detailed records of inspections, warranties, service contracts, and repairs.
- Monitor and coordinate maintenance of building technology systems, including security, access control, audiovisual equipment, internet connectivity, and building automation systems, as applicable.
- Identify facility issues proactively and prioritize repairs to minimize disruptions to ministry and operations.
- Coordinate seasonal campus needs, including snow and ice removal, landscaping, irrigation, exterior maintenance, and storm preparation.
Safety, Security & Compliance
- Foster a safe and secure campus environment by identifying and addressing potential hazards promptly.
- Coordinate fire and life safety inspections, elevator inspections, emergency lighting, AED maintenance, fire extinguishers, and other required safety equipment.
- Maintain compliance with applicable building codes, accessibility standards, insurance requirements, and church policies.
- Oversee building access, keys, alarm systems, and security procedures.
- Develop, maintain, and periodically review emergency response procedures in collaboration with parish leadership.
- Document facility incidents and coordinate follow-up actions as needed.
Event & Ministry Support
- Coordinate room setups and breakdowns for worship services, weddings, funerals, concerts, meetings, educational programs, and parish events.
- Work closely with the Rector and Parish Administrator to confirm schedules, facility readiness, and special event requirements.
- Ensure worship spaces and meeting areas are prepared for Sundays, weekdays, major liturgical seasons: Advent, Christmas, Holy Week, Easter, and other significant parish events.
- Support outside organizations and community groups utilizing church facilities.
Staff, Volunteer & Vendor Management
- Provide effective leadership and supervision of sextons and custodial staff by establishing clear expectations, assigning priorities, conducting regular performance evaluations, and fostering a culture of accountability, professionalism, and excellent customer service.
- Coach employees to improve performance through ongoing feedback, mentoring, and professional development.
- Address performance concerns promptly through appropriate corrective action, including performance improvement plans and disciplinary processes, in collaboration with the Rector and consistent with parish personnel policies.
- Recruit, onboard, schedule, supervise, and evaluate sextons.
- Recruit, organize, and support volunteers for maintenance projects and campus workdays when appropriate.
- Solicit competitive bids, negotiate service agreements, coordinate contractors, verify completion of work, and approve invoices for payment.
- Maintain positive working relationships with vendors while ensuring timely, high-quality service.
- Manage building keys and facility access permissions in accordance with parish policies.
Campus Appearance & Stewardship
- Ensure the church campus reflects a welcoming, clean, orderly, and hospitable environment.
- Maintain the appearance of worship spaces, classrooms, offices, meeting rooms, kitchens, restrooms, and outdoor gathering spaces.
- Coordinate painting, signage, minor carpentry, furnishings, and aesthetic improvements as needed.
- Ensure maintenance and custodial supplies are stocked and managed responsibly.
- Promote thoughtful stewardship of parish property while preserving the beauty and integrity of the campus.
Asset & Inventory Management
- Maintain inventories of furniture, equipment, maintenance supplies, and facility assets.
- Track warranties, equipment manuals, maintenance histories, and replacement schedules.
- Recommend equipment replacement and upgrades based on lifecycle planning.
- Maintain organized records for facility assets and capital equipment.
Budget, Capital Planning & Sustainability
- Assist in developing and managing the annual facilities operating budget.
- Monitor expenditures and recommend cost-effective purchasing strategies.
- Track maintenance expenses and submit purchase requests in accordance with parish procedures.
- Assist parish leadership and the House Committee in long-range capital improvement planning.
- Identify deferred maintenance priorities and recommend replacement schedules.
- Seek opportunities to improve energy efficiency, sustainability, and responsible stewardship of church resources consistent with St. Paul's commitment to Creation Care.
Required
- Three or more years of experience in facilities management, commercial building operations, property management, or a related field.
- Demonstrated knowledge of commercial or institutional building systems, including HVAC, plumbing, electrical, fire safety, security systems, and preventative maintenance.
- Experience supervising employees, coordinating contractors, and managing multiple priorities.
- Strong organizational, communication, and interpersonal skills.
- Excellent problem-solving abilities and sound judgment.
- Proficiency with email, spreadsheets, work-order systems, and basic office software.
- Valid driver's license.
Preferred
- Experience working in a church, school, nonprofit, or other mission-driven organization.
- Professional certifications in facilities management, HVAC, electrical systems, OSHA safety, or related disciplines.
- Experience supporting worship spaces and event logistics.
- Familiarity with historic buildings and preservation practices.
- CPR/AED and First Aid certification, or willingness to obtain certification.
