Location: Garfield, Ohio

Department: Front Office/Operations

Reports To: Office Lead or Operations Manager

FLSA Status: Non-Exempt

Position Summary

The Medical Receptionist serves as the first point of contact for patients and visitors and is responsible for creating a welcoming, professional experience while ensuring efficient front-office operations. This role supports providers by scheduling appointments, verifying insurance, collecting payments, maintaining accurate patient records, and coordinating communication between patients, providers, and other departments. The Medical Receptionist plays a key role in delivering excellent customer service while maintaining compliance with HIPAA and company policies.

Essential Duties and Responsibilities

Patient Services

Greet and check in patients in a friendly, professional manner.

Verify demographic and insurance information.

Obtain required forms and signatures.

Collect co-pays, deductibles, and outstanding balances.

Schedule, reschedule, and confirm patient appointments.

Check patients out and schedule follow-up visits.

Maintain patient confidentiality in accordance with HIPAA.

Telephone and Communication

Answer incoming calls promptly and professionally.

Route calls and messages to the appropriate staff.

Respond to patient questions or direct inquiries appropriately.

Communicate appointment changes and office updates.

Administrative Responsibilities

Maintain accurate electronic medical records (EMR).

Scan and upload patient documentation.

Process referrals and prior authorizations as directed.

Verify insurance eligibility.

Prepare daily schedules and patient charts.

Maintain office supplies and front desk organization.

Assist with mail, faxing, filing, and other clerical duties.

Financial Responsibilities

Collect patient payments.

Balance daily receipts and payment transactions.

Process credit card and cash payments accurately.

Assist with billing questions within the scope of the position.

Team Collaboration

Work closely with providers, medical assistants, and billing staff to ensure smooth patient flow.

Communicate scheduling issues or patient concerns promptly.

Support teammates and assist other offices when needed.

Qualifications

High School Diploma or GED required.

Previous medical office or customer service experience preferred.

Knowledge of medical terminology preferred.

Experience with electronic medical records (EMR) preferred.

Basic understanding of insurance verification and patient registration.

Proficient with Microsoft Office and standard office equipment.

Required Skills

Ability to remain calm and professional in a fast-paced environment.
