Full Job Description

Who we're looking for:

We are seeking a highly organized, proactive, and dependable Executive Assistant to support the owner of multiple companies. This role is responsible for helping manage daily operations, communication, and follow-through across each business, including answering phone calls, managing emails, scheduling meetings and appointments, maintaining the owner’s calendar, tracking tasks and deadlines, organizing documents, assisting with reports, and managing important business data. The Executive Assistant will support team members across the owner’s companies, attend meetings with the owner, prepare meeting notes, follow up on action items, and assist in creating training materials to help improve team performance and consistency. This person will also help manage and improve company systems, research and vet new software or processes, assist with recruiting new team members, and ensure information, tasks, and communication are organized and moving forward. The ideal candidate is detail-oriented, professional, resourceful, and comfortable working in a fast-paced environment with multiple companies, teams, and priorities. They should be a strong communicator, confident on the phone, highly organized with data and systems, able to handle confidential information with discretion, and capable of taking initiative without needing constant direction. Success in this role means the owner is better supported, team members have clear communication and follow-up, meetings are organized and productive, tasks are tracked properly, systems are improved, and the companies operate more efficiently because of strong executive-level support.
