Full Job Description

WESTECH is seeking an Office Manager for our Cleves, Ohio office who is passionate, driven, highly organized and career minded. In this role, you’ll be at the heart of our operations, ensuring the office runs smoothly, efficiently, and with flair. From fostering a positive office culture to coordinating essential administrative functions, you’ll play a pivotal role in shaping our company’s success.

JOB REQUIREMENTS

Information Systems - Ensure that information systems run smoothly.

Physical Plant Management – Ensure office building and grounds are maintained.

Reception - Perform reception duties in an efficient, professional and courteous manner. Communicate and interface verbally and in writing between clients, vendors, visitors and staff. Interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions. Greet visitors, sign for deliveries, receive and distribute mail.
Records System - Assist in proper project documentation and computerization. Manage, organize, and update relevant data using database applications. Administration and oversight of timesheet submissions. Notarize documents.
Office Supplies and Office Equipment - Maintain an adequate inventory of office supplies. Monitor the use of supplies and equipment. Coordinate the repair and maintenance of office equipment. Manage maintenance agreements or contracts. Maintain computer and internet systems.
Personnel Training and Records – Track and schedule training requirements for staff, schedule training courses and maintenance company and personnel licenses and certificates.
Communication - Establish and maintain effective working relationships with co-workers, supervisors and the general public. Provide requested information promptly to those making requests.
Financial – Create weekly account receivable reports and forward to project managers. Management of credit cards and credit card charges by staff.
Vehicle Management - Management and oversight of maintenance and licensing of company vehicles.
Staff - Provide support services for project managers and other professionals as requested. Arrange and participate in meetings and project team activities. Assist project managers and technical staff with report preparation. Must be proficient in Microsoft Word and Excel. Employee onboarding

Job Requirements

A positive, can-do attitude
Degree in geology, environmental science, environmental engineering, or similar
Ability to work in the field as needed
Excellent verbal and written communication skills
Valid driver’s license
Pass a background check and drug screening
Must be able to wear a respirator
Experience with Phase I ESAs, Phase II ESAs
