Job Summary

We are seeking energetic and detail-oriented Front Desk Staff to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring a positive first impression.
Answer multi-line phone systems promptly and professionally, directing calls efficiently.
Manage front desk activities including scheduling appointments, maintaining calendars, and handling incoming correspondence.
Perform clerical tasks such as data entry, filing, proofreading, and document preparation using Word processing tools.
Support office management by organizing supplies, managing mail distribution, and maintaining cleanliness of the reception area.
Utilize Microsoft Office and Google Workspace applications for various administrative tasks.
Assist with bookkeeping activities using QuickBooks and handle basic office bookkeeping responsibilities.
Provide customer support by addressing inquiries accurately and courteously while maintaining excellent phone etiquette.
Support personal assistant duties such as calendar management and appointment scheduling for staff members.
Maintain organized records of client communication, appointment logs, and office documentation with strong attention to detail.

Requirements

Proven clerical or office experience with strong organizational skills.
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools.
Experience with multi-line phone systems, phone answering, and phone reception best practices.
Strong customer service skills with the ability to communicate effectively with diverse clients and visitors.
Bilingual abilities are highly desirable to serve a diverse clientele effectively.
Demonstrated office management skills including calendar management, filing systems, and time management.
Knowledge of bookkeeping software such as QuickBooks is a plus.
Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining professionalism.
Personal assistant experience or familiarity with administrative support roles is advantageous.
