Overview
We are seeking a proactive and detail-oriented Administrative & HR Support professional to join our team on a temporary basis. This position is primarily focused on administrative duties and accounts payable processing, with some responsibility for supporting human resources functions. The ideal candidate is highly organized, dependable, and able to manage multiple priorities while ensuring day-to-day office operations run smoothly. This is an excellent opportunity for someone with strong administrative and accounting support experience who enjoys a variety of responsibilities in a collaborative office environment.
**The anticipated start date for this temporary position is August 31, 2026, with an expected assignment of approximately 4–5 months.
Core Responsibilities
Administrative Responsibilities:
- Oversee all incoming and outgoing mail, ensuring proper distribution to relevant departments.
- Manage accounts payable procedures by overseeing payment transactions, including check preparation, billing, and timely closure of purchase orders in Fishbowl & QuickBooks.
- Administer key card access and time clock key fobs to regulate building entry and monitor attendance effectively.
- Coordinate monthly reminder emails to company credit card holders to ensure expense reports are completed by the deadline.
- Complete basic reports accurately and prepare documents as needed.
- Provide direct support to the company President as needed.
- Other administrative duties as assigned.
Human Resource Responsibilities:
- Review time cards and work with third-party payroll processor in accordance to the company’s pay schedule.
- Assist with staffing procedures by supporting recruiting efforts, coordinating interviews, and facilitating the hiring and onboarding process for qualified candidates.
- Serve as the primary point of contact for temporary staffing agencies by communicating hiring requests, assignment changes, and employee dismissals as directed by department supervisors.
- Provide administrative support for HR programs, including benefits, leave administration, employee relations, and performance management. Assist employees with routine questions and escalate complex issues as appropriate.
- Maintain accurate and up-to-date employee records.
- Maintain employee benefits and work with insurance/retirement brokers to establish and maintain employee policies/accounts.
- Assist with employee engagement initiatives by responding to routine employee questions, coordinating company perks and benefits, and helping organize employee appreciation and team-building activities.
- Coordinate and complete administrative tasks for onboarding, new hire orientations, and exit interviews, including HRIS data entry, document preparation, and employee file maintenance.
- Conduct or acquire background checks and employee eligibility verifications (E-Verify) for new hires in compliance with state regulations.
- Create and distribute internal communications regarding status changes, benefits, or company policies.
- Other human resource duties as assigned.
Qualifications
The following attributes are required:
- Prior experience in office administration, accounts payable, or human resources role
- Must be extremely organized and detail-oriented
- Ability to multitask, set priorities, and be a self-starter
- Must be flexible and able to function in a fast-paced environment
- Must maintain a high level of compassion, integrity, and confidentiality
- Possess excellent communication skills, verbal and written
- Able to apply various problem-solving methods
- Able and willing to work overtime if needed
- Advanced computer skills
The following attributes are desired:
- Bilingual (English & Spanish).
- Experience in a food or beverage manufacturing facility.
- Experience with Fishbowl and QuickBooks software.
Supervisory Responsibilities

Job Type: Part-time - Hourly/Non-Exempt Position
Schedule: Monday–Friday, 8:00 AM–1:00 PM. Occasional flexibility to work beyond scheduled hours may be required based on business needs.
Duration: Temporary position expected to last approximately 4–5 months.
