LOCATION: 31 PARK STREET
HOURS: 8:30AM-4:30PM
POSITION SUMMARY:
Acts as liaison for the First Selectman and Board of Selectmen and assists First Selectman and Board of Selectmen by planning and conducting public relations programs and communications.
· Researches and composes correspondence for the First Selectman’s and or Board of Selectmen’s signature.
· Prepares Board of Selectmen and Board of Finance agendas by researching and preparing information for bi-monthly meetings including coordination of appointments, resignations, etc. of the various Board and Commission members.
· Attends and takes minutes of all regular, special, and emergency Board of Selectmen and Board of Finance meetings and appointed sub-committee meetings, as assigned.
· Prepares and publishes legal notices for Public Hearings, Town Meetings and other items under Board of Selectmen jurisdiction, in accordance with local ordinances and state laws.
· Prepares correspondence to Department Heads, agencies, and others as a result of actions by the First Selectman, the Board of Selectmen, and/or the Board of Finance.
· Manages and coordinates applications for Board and Commission appointments.
· Maintains and distributes Board and Commission Membership Lists.
· Provides administrative support to the First Selectman, Board of Selectmen and Board of Finance, and chairs of various Boards and Commissions.
· Educates Board and Commission members on how to use technology for remote meetings.
· Schedules and coordinates use of the Town Green, including sign requests.
· Facilitates in the development and communication of information designed to keep public informed of the Town’s programs, accomplishments and/or point of view.
· Uploads all Board and Commission meeting documents onto the Town of Guilford Website.
· Maintains and updates the Town of Guilford Website, Instagram, and Facebook Pages.
· Sets up internal server to house recordings, copies files for GCTV and/or YouTube or similar airing, and maintains storage capacity by copying over or deleting files, as necessary.
· Prepares and distributes fact sheets, annual reports, news releases, photographs, scripts, videos, or tape recordings to media representatives and other persons who may be interested in learning about or publicizing the Town’s activities or message.
· Coordinates the planning, production, and distribution of the Town’s internal and external publications and annual reports.
· Responsible for compilation or articles and publication of Guilford Events Magazine.
· Coordinates production and distribution of informational packets.
· Coordinates special events and recognition receptions.
· Assists in Board of Selectmen and Board of Finance meeting access and recordings.
· Photographs Town events for publications and displays.
· Assists in preparing written materials for special projects.
· Produces, maintains, and distributes monthly and yearly Town calendars of events.
· Answers telephone and gives information to callers or routes calls to appropriate officials.
· Complies with all proper safety procedures and regulations and ensures that everyone in the department follows proper safety procedures and regulations.
· Treats other employees, and any others with whom there is contact, with courtesy, respect and professionalism.
· Performs other related responsibilities as necessary and/or assigned.
- Knowledge of local government and the structure of the Town of Guilford.
- Knowledge of basic computer systems including Word, Excel, and PowerPoint.
- Knowledge of website design and maintenance.
- Knowledge of cameras, scanners, and video recording equipment.
- Skills in written and verbal communication, including making presentations.
- Skills in note taking and/or shorthand, including using tape recorder.
- Skills in writing and creativity.
- Skills in interpersonal relations.
- Ability to facilitate meetings, including initiating with TEAMS or other similar technology.
- Ability to conduct research on the Internet.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
- Ability to compose correspondence, letters, press releases, job opportunity advertisements, and articles for publication.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
- Ability to apply knowledge or research to address town topics and questions.
- Ability to speak clearly and concisely both in oral and written communication.
- Ability to effectively present information to and respond to inquiries from Town employees, officials, and the general public and clearly express recommendations and decisions both orally and in writing.

- Ability to keep records and prepare clear, accurate, and concise reports.
- Ability to establish and maintain a courteous and effective working relationship with town officials, employees, committee members, and the general public.

The position requires the individual to meet deadlines with severe time constraints and to interact with the public and other workers. Specific vision abilities required by the job include close vision and the ability to adjust focus. The employee must occasionally lift and/or move up to thirty (30) pounds. Some stress involved in public contact.
EDUCATION AND/OR EXPERIENCE:
- High school diploma or general education degree (GED) and a minimum of six (6) months’ related experience and/or training required.
- Bachelor Degree preferred.
- Web Site Development and/or Communications experience required.
