Office Manager

Purpose:

The Office Manager keeps the business organized behind the scenes. This role is responsible for client communication, scheduling support, administrative tasks, and ensuring everything runs smoothly from the office so our field team can focus on delivering exceptional service.

Primary Responsibilities:

Client Communication

- Respond promptly to calls, texts, emails, and website inquiries.

- Schedule estimates and recurring services.

- Maintain friendly, professional communication.

- Follow up with prospective and current clients.

- Handle client questions and concerns with care.

Scheduling & Administration

- Maintain the company schedule.

- Update client information and notes.

- Process invoices and payments.

- Track recurring services and schedule changes.

- Keep digital files organized and up to date.

Office Operations

- Order office and cleaning supplies.

- Maintain organized records.

- Assist with payroll preparation and administrative support.

- Help implement company systems and procedures.

Team Support

- Communicate schedule updates to technicians.

- Ensure employees have the information they need.

- Support onboarding paperwork and documentation.

- Assist leadership with special projects.

Daily Priorities

- Respond to client communication.

- Confirm upcoming appointments.

- Process administrative tasks.

- Update schedules.

- Assist with operational needs.

- Keep systems accurate and organized.

Expectations

- Be organized and detail-oriented.

- Communicate professionally and warmly.

- Be proactive rather than reactive.

- Protect confidential information.

- Represent Maid in Duluth with kindness, professionalism, and consistency.

Pay: $25.00 - $30.00 per hour
