Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer support, and ensure smooth administrative workflows. Your positive attitude and organizational skills will contribute to creating a professional and friendly environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Answer multi-line phone systems efficiently, directing calls accurately and professionally.
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools.
Handle data entry tasks with precision, maintaining accurate records in spreadsheets and databases.
Perform clerical duties such as filing, proofreading documents, and preparing correspondence using Microsoft Office applications.
Assist with bookkeeping activities, including basic QuickBooks entries and expense tracking.
Support office management tasks like inventory control, supply ordering, and maintaining a tidy reception area.
Provide customer service by addressing inquiries, resolving issues, and supporting client communication efforts.
Maintain confidentiality of sensitive information while demonstrating excellent phone etiquette and organizational skills.

Experience

Prior office experience or administrative support roles demonstrating strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software such as Google Workspace.
Experience with multi-line phone systems and professional phone communication is essential.
Bilingual abilities are highly valued to assist diverse client needs effectively.
Technical proficiency in data entry, filing systems, spreadsheets, and basic bookkeeping (QuickBooks preferred).
Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Customer service experience that highlights excellent client communication and problem-solving capabilities.
Personal assistant or calendar management experience is a plus for supporting team schedules and appointments.
