Job Description for Administrative Assistant Position for Christ Episcopal Church

Job description: Full-time Administrative Assistant

About us:

We are a midsized, outreach-oriented Episcopal Church. We gather as a welcoming and inclusive body of Christ in political and theological diversity. We share our space with Little Explorers Preschool. We partner with a local Episcopal Retreat Center just outside of Cody. We manage two Bargain Box thrift stores. We commit to serving our neighbors, especially those on the margins. We are open to trying new ways of being as a church, and we remain faithful to our Episcopal roots.

About you:

The church office helps create an environment and culture that enables us to fulfill our mission of providing hospitality and support to church staff, church volunteers, and members of the community we serve. We are currently seeking a grounded, experienced, enthusiastic professional to fill this full-time role and rise to the challenge. The ideal candidate is a detail-oriented and personable multitasker who has significant administrative experience in a fast-paced office setting. You will bring resourcefulness, organization, and stellar communication skills to the desk. With a knack for keeping cool under pressure and juggling complex schedules, you will be counted on to help us strengthen and grow our church.

Principal Responsibilities

Communications: Greet visitors and folks who come in for assistance, answer phones during office hours, and follow up on phone messages; Produce Sunday/Special Service Bulletins; Receive, distribute, and post USPS mail; Oversee and as necessary produce parish correspondence; Respond to and organize all church emails (on Google Workspace).

Record Keeping: Maintain updated membership and mailing/emailing lists; Submit Annual Reports as required by church and state; Maintain parish records both physical and electronic (strong competence with Google Workspace is necessary).

Vestry (Church Governing Board): Collate and distribute Monthly Vestry Packets and Annual Meeting Packets; Assist with annual fundraising documents, letters, and mailings.

Mission Committee: Receive, distribute, and organize Bargain Box Community Grants that come through the church to keep this vital outreach mission of Christ Church flowing smoothly.

Ministry Support: Coordinate Volunteer Assignments, Assist the Rector (Pastor) and other staff

Buildings and Grounds: Maintain Office Equipment, Troubleshoot Building and Grounds Issues in concert with the Junior Warden, Oversee Google Calendar Building Schedule use by Christ Church and outside groups (including scheduling weddings at Wayfarers Chapel).

Compensation

Forty hours per week, Monday through Friday, 9 AM to 5 PM. Position starts at $22 per hour. Compensation will be re-examined at six months commensurate with education, skills, and performance of the successful candidate. Church contributes to 401k after six months.
