Full Job Description

Job Summary:

We are seeking a detail-oriented and self-motivated Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support with minimal supervision to support the efficient operation and growth of our program. This role involves a range of administrative duties and people support.

This position has a flexible schedule that would allow for partial remote work requiring 2 to 3 half-day in-office days a week (M-Th, midday). The rest of the time, you can work when you want, where you want. Occasional evenings and weekends are required for meetings and events.

Key Responsibilities:

Communication: Serve as the primary point of contact by email (and sometimes text or phone) for volunteers, students, and others, providing information and assistance as needed.
Documentation: Maintain accurate and organized records, files, spreadsheets, and databases, including donor, volunteer, and student information.
Event Support: Assist in the planning and execution of occasional events, including fundraising activities, volunteer training sessions, and other meetings.
Support Services: Provide administrative support to the executive team, volunteers, and students as needed.
Office Space Management: light office upkeep such as managing supplies, and organizing materials.
Scheduling: Coordinate and schedule meetings, appointments, and events for staff and volunteers.
Confidentiality: confidentiality is a requirement for this position. All student data is confidential.

Qualifications:

Education:

High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

Experience:

Office experience preferred, but willing to train.

Skills:

Excellent written and verbal communication skills.
Strong organizational and multitasking abilities, must be comfortable keeping many balls in the air.
Proficiency in Google applications (Docs, Sheets, Slides, Drive), ability to learn new programs as needed.
Ability to stay motivated and work independently and as part of a team.
Detail-oriented with a high level of accuracy and follow-through.
A proactive tendency towards problem-solving and improving systems.
Familiarity with creating graphics & social media posting skills is desirable.

Pay: $16.00 - $18.00 per hour
