Join an accounting and tax firm dedicated to serving individuals and businesses with excellence, professionalism, and integrity. We provide comprehensive accounting and tax services, and we are seeking an experienced, disciplined, motivated and service-minded administrative assistant with strong attention to detail to join our team.

This position is hybrid, with tax season (January through May) requiring a more heavy in-office schedule due to the nature of our business. Though this position is part-time, we offer PTO as well as a profit-sharing plan, a performance bonus and the opportunity to earn bonuses for new client retention.

In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your proactive approach, combined with excellent communication skills, will help foster an efficient, welcoming environment where everyone can thrive. This role is ideal for someone who values meaningful professional relationships, strives for personal and professional growth, and brings both skill and character to their work.

Duties

Greet clients, directing them appropriately with professionalism and warmth
Assistance with email and calendars for the owners
Client relations assistance
Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
Perform data entry tasks accurately using Google Workspace, and specialized software such as QuickBooks for internal bookkeeping purposes
Support office management activities including calendar management, appointment scheduling, and coordinating meetings
Assist with clerical duties such as retrieving/printing/scanning/copying documents
Adhere to a monthly schedule, preparing correspondence, and managing task assignment when necessary
Provide exceptional customer service support by addressing inquiries promptly and professionally in person or via phone/email
Support managing schedules and travel arrangements
Plan team building and networking events
Assist with advertising and marketing duties as directed
Ensure a clean and organized space is maintained
Keep office supplies stocked and organized, ensuring staff have what they need
Contribute to great company morale by helping celebrate wins and staff's personal milestones
Uphold confidentiality, ethics and a high standard of personal conduct

Requirements

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive)
Demonstrated experience in office management with a focus on clerical excellence and team synchronicity
Proven excellence in maintaining accurate records and managing calendars and schedules
Knowledge of and experience using customer service and intercompany staff relation best practices to support positive interactions throughout
