Overview
We are seeking a reliable, dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, managing office systems, and supporting team members across various departments. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming and productive workplace. As an Office Manager, you will be the one to ensure everything runs seamlessly from front desk management to administrative support.

Duties

Manage front desk operations, including greeting visitors, handling multi-line phone systems, and providing exceptional customer service with professional phone etiquette
Oversee calendar management and scheduling for meetings, appointments, and office events
Maintain office supplies inventory
Perform data entry, filing, proofreading, and general clerical tasks to support administrative functions
Handle bookkeeping responsibilities using Online QuickBooks to assist with invoicing and expense tracking
Ensure office policies are followed and implement process improvements for efficiency and organization
Must know how to process payroll and maintain accurate records
Knowledge of accounts payable & receivable

Requirements

Must know how to do AIA'S
Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) applications
Must know how to use Online QuickBooks to do invoicing
Excellent communication skills with the ability to handle multi-line phone systems and demonstrate proper phone etiquette
Strong computer literacy with the ability to perform data entry, proofreading, and clerical tasks accurately
Demonstrated ability to manage time effectively while juggling multiple priorities in a fast-paced environment
Experience in customer service that requires professionalism and patience
Must be able to use social media- post photos and quotes on our website weekly
