Job Summary
We are seeking a dynamic and highly organized Front Office Coordinator to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, coordinate communication channels, and support administrative functions to ensure a smooth and professional environment. Responsibilities

Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued from the moment they arrive
Manage multi-line phone systems, screen calls, and direct inquiries efficiently to appropriate personnel
Maintain organized filing systems, handle data entry tasks, and ensure accurate record keeping using tools like Microsoft Office and Excel
Schedule appointments, manage calendars, and coordinate meetings for staff or executives with precision and timeliness
Handle incoming correspondence via email and postal mail, proofreading documents for accuracy and clarity
Support office management tasks such as supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks or similar software
Provide exceptional customer service by addressing inquiries promptly and supporting patients and staff with their needs

Requirements

Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and data entry skills
Excellent organizational skills with the ability to multitask effectively while maintaining attention to detail
Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer support
Previous experience in medical or dental reception is a plus but not required; familiarity with medical or dental office procedures is advantageous
Strong time management skills with the ability to prioritize tasks efficiently in a busy setting
Knowledge of bookkeeping practices using QuickBooks or similar programs is preferred
