The Administrative Coordinator I provides comprehensive administrative, operational, and programmatic support for Project ECHO at the Texas A&M University Health Telehealth Institute. This position assists in the coordination, implementation, and evaluation of Project ECHO programs and educational initiatives, including virtual session facilitation, participant communication, data management, continuing education administration, marketing and outreach efforts, and instructional design support. The role exercises discretion and independent judgment with respect to matters of significance while supporting the Education Core and ensuring efficient program operations.

Responsibilities:
Program Coordination and Administrative Operations
Supports the coordination and implementation of Project ECHO programs and related educational initiatives.
Assists with scheduling, facilitation, and real-time coordination of virtual ECHO sessions and meetings.
Maintains calendars, schedules, and communication with faculty, speakers, participants, and stakeholders.
Coordinates logistical arrangements for meetings, trainings, conferences, and events.
Develops and maintains administrative procedures and workflows to support efficient program operations.
Maintains program records, files, databases, and reference materials.
Researches and responds to inquiries regarding program operations, procedures, and processes.
Provides administrative support to the Project ECHO program director.
Performs other administrative duties as assigned.
Data Management, Reporting, and Evaluation Support
Supports collection, tracking, and management of program data and metrics.
Assists with generating reports, summaries, and dashboards to support program evaluation and improvement.
Maintains participant databases and attendance records.
Assists in monitoring project timelines, deliverables, and outcomes.
Supports interpretation and organization of data to inform program impact and operational improvements.
Ensures accuracy and confidentiality of program records and data systems.
Continuing Education and Training Support
Assists with the development, coordination, and administration of Continuing Education Units (CEUs) and other professional training opportunities.
Supports compliance with accreditation standards, policies, and continuing education requirements.
Coordinates course logistics, participant registration, evaluations, and completion documentation.
Assists with maintaining records related to CEU compliance and reporting requirements.
Marketing, Outreach, and Instructional Design Support
Supports marketing and outreach efforts to promote Project ECHO programs, educational offerings, and CEU opportunities.
Assists with development and distribution of promotional materials, newsletters, and program communications; which may include occasional travel to meetings.
Supports website and digital content updates related to ECHO and Education Core initiatives.
Assists with instructional design and educational content development to enhance participant engagement and learning outcomes.
Collaborates with team members to support participant recruitment and stakeholder engagement activities.
Compliance, Training, and Operational Support
Assists in ensuring compliance with university, accreditation, and program policies and procedures.
Provides support for onboarding and training of student workers or support staff, as applicable.
Assists with developing and maintaining administrative and operational processes and documentation.
Supports special projects and additional responsibilities as assigned.
Required Education and Experience:
Preferred Qualifications:
Experience supporting virtual education, telehealth, healthcare, public health, or continuing education programs.
Experience with project coordination, data tracking, reporting, or instructional design.
Experience using virtual meeting platforms and learning management systems.
