The Graduate Program Coordinator I serves a key role in facilitating a positive academic experience for graduate students by assisting graduate student admissions and recruitment activities, student success activities, and performing general administrative tasks. This position provides dedicated administrative oversight for the EDHP MS and new graduate certificate programs, specifically
managing the coordination of MD+ students across dual medical and graduate curricula. Furthermore, the role serves as the primary administrative point of contact for the Associate Dean.

Responsibilities
Program Support
Performs general administrative tasks that are essential to support program operations for EDHP, Graduate Certificates and MD+ including facilitating operations for relevant graduate committees, including preparing agendas and documentation.
Acts as the primary administrative point of contact and liaison for the Associate Dean, managing professional scheduling, calendar coordination, and operational alignment.
Coordinates program activities and resources across campuses and serves as a liaison between the certificate programs and the Graduate Instruction Committee (GIC).
Ensures all program actions, especially the MD+ dual enrollment transition, align with Texas A&M University System policies, regulations, and procedures.
Responsible for the annual review and updating of the EDHP MS and Graduate Certificate Program Handbooks to ensure alignment with University and Office of Graduate Studies (OGS) policies.
Performs essential administrative tasks including processing relevant financial transactions and maintaining program files.
Assists with documentation needed for program accreditation including moving the MD+ to dual enrolment status.
Admissions & Recruitment
Assists with admission process for the MS and Certificate in EDHP and any stand along graduate certificate, providing administrative coordination for the admissions committees.
Monitors applications for all graduate certificates and EDHP master’s programs, ensuring all materials are available for review and interviews.
Helps manage the specialized administrative workflow for MD+ students.
Participates in recruitment activities, including managing faculty surveys and organizing information sessions for prospective certificate students
Graduate Student Events
Assists with planning and executing orientations specifically tailored for EDHP MS and graduate certificate cohorts.
Coordinates degree milestones for MS students, including thesis defenses or final project submissions.
Supports the production of seminars, retreats, and student activities that accommodate both local and remote students.
Provides administrative support for university-wide graduate initiatives and special events hosted by the Office of Graduate Studies
Data Management
Maintains accurate data related to graduate students and programs.
Maintains precise data for MD+ students, tracking their progress through the distinct medical and graduate curricula.
Generates and analyzes reports on student progress and program outcomes for the EDHP MS to ensure timely graduation.
Maintains accurate data on student research progress, and the completion of certificate-specific requirements.
Prepares internal data summaries to assist leadership in program evaluation and resource allocation.
Student Success
Guides student success activities by addressing the academic and professional development needs of MS and certificate students.
Helps support Graduate Student Organizations and fosters engagement within the EDHP community and for Graduate Certificate students.
Required Education & Experience
Preferred Qualifications
Three or more years of experience in an academic or medical education setting, specifically working with graduate curricula.
Proven experience providing administrative support to senior academic leadership, including high-level calendar management and committee facilitation.
Familiarity with university policies and procedures related to graduate education.
Experience with student information systems (e.g., Banner, PeopleSoft, Slate, or similar)
Familiarity with learning management systems (e.g., Canvas, Blackboard) preferred
Knowledge, Skills, and Abilities
Strong organizational and record-keeping skills.

Ability to support event or activity coordination.
Proficiency in standard office software and technology.
