Full Job Description

Position Summary

The Crystal Lakes Road & Recreation Association (CLRRA) is seeking an experienced Administrative Coordinator to provide administrative and customer service support for our Association office.

This is not an entry-level position. We are seeking an experienced administrative professional who is highly organized, detail-oriented, and able to work independently with minimal supervision. The ideal candidate enjoys helping people, takes pride in producing accurate, high-quality work, and appreciates a position that offers a variety of responsibilities throughout the year.

The Administrative Coordinator works closely with the Administrator to ensure the efficient operation of the Association office while providing exceptional service to property owners, guests, Board members, committee volunteers, vendors, and business partners.

The position follows a natural seasonal rhythm. Summer months focus primarily on member services, annual renewals, and day-to-day office operations. During the quieter winter season, responsibilities shift toward improving administrative systems, organizing records, developing documentation, supporting special projects, and preparing the Association for the upcoming year. We are looking for someone who enjoys creating order, improving processes, and contributing ideas that help the Association operate more efficiently.

Crystal Lakes Road & Recreation Association (CLRRA) serves more than 1,500 privately owned properties in the scenic mountains of northern Colorado. The Association maintains roads, recreational amenities, architectural review services, and administrative operations that support property owners throughout the year. Our office is known for providing friendly, helpful service in a welcoming environment. We enjoy getting to know our members and take pride in making every interaction a positive one. Primary Responsibilities

Member Services

Provide exceptional customer service in person, by phone, and by email.
Issue annual renewals of vehicle stickers, owner badges, fishing permits, OHV registrations and and other Association services.
Ensure all transactions and member records are completed accurately before materials are issued.
Answer questions regarding Association policies, amenities, events, and services.
Assist property owners and guests with professionalism, patience, and a positive attitude. Administrative Operations
Answer and route incoming telephone calls.
Monitor and respond to shared office email accounts.
Prepare Architectural Control Committee (ACC) applications for committee review.
Create and publish the Association's Weekly View newsletter.
Prepare correspondence, reports, notices, forms, and other administrative communications.
Maintain electronic and paper filing systems.
Monitor office supplies and coordinate purchasing as needed.
Open and close the office following established procedures.
Reconcile petty cash weekly.
Prepare bank deposits and make periodic trips to Fort Collins for banking.
Assist with meeting preparation and other administrative projects as assigned.

Documentation & Process Support

Assist with creating and maintaining administrative procedures and training documentation using established standards and templates.
Help create and maintain the Association's Administrative Operations Manual.
Organize and maintain electronic records and Google Drive files.
Support ongoing records management and document organization.
Identify opportunities to improve administrative processes and office efficiency. Technical & Project Support
Create and maintain spreadsheets, databases, and administrative tracking systems.
Support data entry, reporting, and quality control across multiple systems.
Assist with special administrative and organizational projects throughout the year.
Cross-train on essential office functions to ensure continuity of operations.
Assist in developing and maintaining the annual service renewal spreadsheets and supporting records that are critical to the Association's renewal process.
Learn new software applications and assist with future technology implementations and process improvements.

Qualifications

Required

Minimum three (3) years of progressively responsible administrative office experience.
Minimum three (3) years of customer service experience.
Excellent organizational and time management skills.
Exceptional attention to detail and accuracy.
Strong written and verbal communication skills.
Ability to manage multiple priorities independently.
Professional, dependable, and customer-focused.
Strong proficiency with Microsoft and Google Workspace (Docs, Sheets, Gmail, Calendar, and Drive).
Ability to learn new software applications quickly.

Preferred

Advanced Google Sheets skills, including formulas, data organization, filtering, sorting, and development of complex tracking spreadsheets.
Experience creating administrative procedures or process documentation.
Experience working for a homeowners association or other membership-based organization.

Working Conditions

This is a year-round, part-time position based in the Crystal Lakes Association Office.

Because of our mountain location, winter weather can occasionally impact travel. During significant weather events, limited remote work may be approved when office coverage is not required and assigned work can be completed effectively from home.

Periodic travel to Fort Collins for banking and other Association business is required. Occasional attendance at Association meetings or special events outside normal office hours may also be required.
