Clinical Operations Coordinator – Remote

**Applicants must reside in CO, IL or MO**

Colorado HomeDoc is seeking an organized, detail-oriented Clinical Operations Coordinator to support prescription refills and prior authorization, DME, scheduling, referral, and patient communication workflows within our growing medical practice.

This is a remote, part-time position with the potential to grow. The ideal candidate has experience in a medical office or clinical support role and is comfortable communicating with patients, providers, pharmacies, insurance plans, medical equipment suppliers, and community care partners.

Colorado HomeDoc provides primary care, palliative care, and psychiatric services through a virtual and hybrid care model. Our team is committed to making healthcare more accessible while providing responsive, compassionate support to patients and their caregivers.

Key Responsibilities

Medication Prior Authorizations

Initiate and complete medication prior authorization requests.
Gather required insurance and clinical information from the medical record.
Monitor authorization status and respond to requests for additional documentation.
Communicate approval, denial, and status information to providers, patients, and pharmacies.
Escalate urgent requests, denials, and clinically sensitive delays appropriately.

Medication Refill Coordination

Receive and process refill requests from patients, pharmacies, and team members.
Verify that requests contain the information needed for provider review.
Route requests to the appropriate provider and follow them through completion.
Communicate with patients, providers, and pharmacies to clarify requests and resolve administrative barriers.

Durable Medical Equipment Coordination

Assist providers with DME orders and supporting documentation.
Submit orders to appropriate suppliers and respond to requests for corrections or additional information.
Track outstanding orders and communicate status updates or barriers.
Maintain accurate documentation of DME-related activity.

Phone and Patient Support

Provide coverage for assigned phone queues and voicemail workflows.
Communicate professionally and compassionately with patients, caregivers, pharmacies, and referral partners.
Resolve administrative needs within the role’s scope and route clinical concerns to the appropriate licensed team member.
Document calls and follow-up actions accurately.

Scheduling Cross-Coverage

Cross-train on new patient scheduling and established-patient rescheduling.
Provide coverage during planned and unplanned staff absences.
Coordinate appointment details with patients, caregivers, providers, field staff, and internal team members.

Outbound Referral Coordination

Prepare and submit referrals to home health, hospice, direct-admit hospitals, and other community care partners.
Confirm that referral packets include required orders, demographics, insurance information, and clinical documentation.
Track referrals and follow up with receiving organizations to support timely acceptance and start of care.
Communicate referral status, barriers, and outcomes to the appropriate parties.

Qualifications

High school diploma or equivalent required.
Medical Assistant, Certified Nursing Assistant, or comparable healthcare education or experience preferred.
Previous experience in a medical office, clinical support, pharmacy, insurance, DME, referral coordination, or healthcare scheduling role strongly preferred.
Familiarity with medication prior authorizations, refill workflows, insurance requirements, and medical terminology preferred.
Strong organizational skills and close attention to detail.
Ability to manage multiple time-sensitive tasks while maintaining reliable follow-through.
Excellent verbal and written communication skills.
Comfortable communicating with patients, providers, pharmacies, insurance companies, and outside healthcare organizations.
Able to distinguish administrative needs from clinical concerns and escalate appropriately.
Able to work independently while remaining communicative and collaborative with a remote team.
Proficiency with electronic health records, web-based portals, email, and cloud-based systems.
Experience with Tebra, Zoho, RingCentral, or payer authorization portals is helpful but not required.
Commitment to HIPAA compliance and the confidential handling of patient information.

Position Details

Job type: Part-time position with room for growth
Location: Remote
Expected hours: 25-30 hours per week
Schedule: Monday through Friday
Pay: $19/hour
Reports to: Vice President of Operations
