Full Job Description

Position Overview

This position requires someone who is comfortable working on a computer throughout the day, has excellent attention to detail, and can follow directions and established procedures consistently.

The ideal candidate is organized, dependable, able to manage multiple priorities, and comfortable learning new computer programs and processes.

This is a fast-paced office, so we are looking for someone who can take good notes, retain training, ask questions when clarification is needed, and independently complete tasks once they have been trained.

Key Responsibilities

Provide daily administrative support to the Office Manager and project team.
Perform accurate and timely data entry.
Scan, upload, download, save, label, and organize documents.
Maintain organized electronic and physical project files.
Enter and maintain vendor, subcontractor, customer, and project information.
Collect and track Certificates of Insurance (COIs), W-9s, subcontractor documents, and other compliance paperwork.
Assist with contracts, change orders, permits, project documentation, and closeout paperwork.
Review documents for accuracy and completeness.
Assist with tracking and organizing invoices and supporting documentation.
Answer and direct incoming phone calls and emails.
Communicate professionally with customers, subcontractors, vendors, and project managers.
Greet clients, vendors, and visitors professionally.
Assist project managers and field staff with administrative tasks and documentation.
Coordinate mail, office supplies, scanning, copying, and general office organization.
Schedule meetings and appointments as needed.
Use scanners, printers, copiers, email, PDFs, and other standard office technology.
Follow established company procedures and directions consistently.
Perform other administrative duties as assigned.

Qualifications

Previous administrative or office experience preferred.
Strong computer skills required.
Strong and accurate data-entry skills required.
Comfortable working on a computer throughout the workday.
Proficient with scanning, uploading, downloading, saving, emailing, and organizing electronic documents.
Ability to navigate Windows, computer folders, email attachments, PDFs, and web-based applications.
Proficiency in Microsoft Outlook, Word, and Excel.
Ability to learn new computer programs and software quickly.
Construction office experience is a plus.
Experience with construction documents, COIs, W-9s, subcontractors, vendors, permits, or project documentation is a plus.
High attention to detail and accuracy.
Strong organizational and time-management skills.
Ability to follow written and verbal directions.
Ability to retain training and consistently follow established processes.
Ability to prioritize and manage multiple tasks in a fast-paced environment.
Strong written and verbal communication skills.
Dependable, professional, and punctual.
Ability to work independently while supporting a collaborative team.

What We're Looking For

We are looking for someone who is organized, computer proficient, detail-oriented, and comfortable handling a variety of administrative responsibilities.

Attention to detail and the ability to follow directions are extremely important in this position. The right candidate should be able to receive instructions, take organized notes, ask appropriate questions, and then follow the established process consistently.

You should be comfortable navigating computer programs, entering data accurately, scanning and organizing documents, managing electronic files, and switching between multiple tasks throughout the day.

Previous commercial construction experience is a plus, particularly experience working with subcontractors, vendors, Certificates of Insurance, W-9s, permits, and project documentation.
