Overview

We are seeking an energetic and highly organized Office Assistant to join our dynamic team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff and clients alike. Duties

Manage front desk responsibilities, including greeting visitors and directing phone calls with professionalism and courtesy.
Handle multi-line phone systems efficiently, ensuring clear communication and prompt responses to inquiries.
Maintain organized filing systems, both electronic and paper-based, supporting data entry and document management tasks.
Assist with calendar management and scheduling appointments for staff members, ensuring optimal time utilization.
Prepare correspondence, reports, and presentations using Microsoft Office Suite, including Word, Excel spreadsheets, and other productivity software.
Support office management tasks such as ordering supplies, managing inventory, and coordinating maintenance requests.
Provide exceptional customer service by addressing client needs promptly and professionally while maintaining a positive attitude.

Skills

Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with spreadsheets and data entry.
Experience with QuickBooks or similar accounting software is a plus for handling invoicing or expense tracking.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Bilingual abilities are highly desirable to assist diverse clients and team members.
Demonstrated clerical experience including filing, proofreading, and document management.
Exceptional phone etiquette with experience managing multi-line phone systems and client communication.
Strong time management skills to prioritize tasks efficiently while maintaining accuracy and attention to detail.
