Full Job Description

Position Summary

We are seeking an Accounting Manager to lead day-to-day accounting operations for a fast-paced HVAC and plumbing company. This role oversees weekly payroll, core transaction functions (AP/AR), and key HR administration activities, ensures accurate and timely financial reporting, strengthens internal controls, and partners with operations to support service and installation profitability through job costing, work-in-progress (WIP) tracking, and process improvements.

Key Responsibilities

Manage the month-end and year-end close; prepare and review journal entries, reconciliations, and financial statements for service and project operations.
Oversee general ledger activities and ensure compliance with GAAP and company accounting policies.
Own job costing for installation and replacement work: review labor, materials, equipment, subcontractor costs, change orders, and margin performance.
Prepare and maintain work-in-progress (WIP) schedules and support revenue recognition methods used for projects (e.g., percentage of completion) as applicable.
Oversee billing/invoicing processes for service calls, maintenance agreements, and installation projects; ensure accurate pricing, taxes, and timely collections.
Oversee accounts payable end-to-end, including vendor onboarding, invoice coding/approvals, payment runs, 1099 tracking, and timely processing for parts/material suppliers, subcontractors, permits/inspections, and warranty-related expenses.
Oversee accounts receivable, cash application, and collections; manage customer account set-up, monitor aging, resolve billing disputes, and support credit policies and lien/retainage tracking where applicable.
Oversee weekly payroll administration in partnership with HR/operations, including review of technician time, commissions/spiffs (if applicable), deductions/benefits, garnishments, and reconciliation of payroll to the general ledger.
Ensure timely and accurate payroll tax filings and payments (federal, state, and local), wage/hour compliance support, and year-end processing (W-2s/1099s) in coordination with third-party providers as needed.
Oversee human resources administrative functions, including onboarding/offboarding documentation, maintenance of personnel files, benefits enrollment/changes, timekeeping support, and coordination of employee policy/compliance communications in partnership with leadership.
Oversee business license filings and renewals; manage credit applications and support lease administration, including documentation, approvals, and ongoing compliance.
Oversee coordination with external legal counsel on litigation matters and regulatory issues.
Track and reconcile inventory/parts (as applicable), including receipts, returns, shrink, and valuation; partner with operations on cycle counts and controls.
Reconcile fuel cards, fleet/vehicle expenses, and purchasing cards; ensure appropriate coding to jobs, departments, and cost categories.
Oversee insurance administration for auto, general liability, and workers’ compensation, including policy renewals, certificates of insurance (COIs), premium audits, and coordination with brokers/carriers; support related compliance and claims documentation as needed.
Prepare monthly reporting packages and variance analyses (service vs. install, labor utilization, gross margin, overhead); communicate insights to leadership.
Develop, maintain, and distribute KPI reports and dashboards (e.g., revenue, gross margin, labor efficiency, AR aging/DSO, inventory turns, and cash position); ensure data accuracy and drive follow-up actions with leadership and operations.
Support annual budgeting, forecasting, and cash flow planning, including seasonality and large project cash requirements.
Ensure timely sales tax and other statutory filings across applicable jurisdictions; maintain exemption certificates when needed.
Lead, coach, and develop accounting staff; set priorities, review work, and ensure deadlines are met—especially around close and peak seasons.
Partner with operations and dispatch on process improvements, including technician time entry, parts usage, job setup, and system/reporting enhancements.

Qualifications

Bachelor’s degree in Accounting, Finance, or a related field (or equivalent experience).
5+ years of progressive accounting experience, including month-end close and financial reporting.
2+ years of people leadership experience (or strong demonstrated leadership in a senior role).
Hands-on experience with job costing and profitability reporting; ability to analyze labor, material, and subcontractor cost drivers.
Working knowledge of WIP reporting and project accounting concepts (as applicable to the business).
Proficiency with accounting/ERP systems and advanced Excel skills.
Experience with QuickBooks (Online and/or Desktop).
Experience with sales tax and compliance requirements relevant to service and installation work.
Strong attention to detail, ability to meet deadlines, and clear communication with operations and leadership teams; experience overseeing payroll and AP/AR workflows is strongly preferred.

Preferred

Experience in construction/contracting, HVAC, plumbing, or other skilled-trades/field-service environments.
Experience using ServiceTitan (preferred) and other field-service/job costing systems;
Experience with QuickBooks Desktop.
Experience with inventory/parts management and controls, including cycle counts and valuation methods.
Experience supporting external audits, tax filings, and process automation.

Compensation & Benefits

Compensation: $25–$35 per hour (commensurate with experience). Benefits include medical/dental/vision (company pays 50% of employee’s premiums), paid time off, paid holidays (after one year of employment), a 401(k) plan (after one year of employment).

Work Environment

This is a full-time position, typically Monday through Friday, 8:00am–5:00pm with one hour lunch break. The role is primarily office-based, with occasional overtime during month-end/year-end close as business needs require.
