Purchasing Assistant – Ontario, CA

Hallmark Floors is seeking a driven and detail-oriented Purchasing Assistant to join our growing team in Ontario, California. This is an exciting opportunity to play a key role in our global supply chain, working directly with international manufacturing partners and collaborating across multiple departments to keep operations running efficiently.

As a member of the Operations team, you will support purchasing, inventory management, import logistics, and cross-functional business initiatives. You will help coordinate the movement of products from overseas factories to our customers while working closely with Purchasing, Accounting, Customer Service, Sales, and Warehouse teams. This role offers broad exposure to all aspects of the business and is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and is looking to build a career in supply chain, purchasing, or operations.

Because this position involves daily communication with overseas suppliers, fluency in both Mandarin Chinese and English is strongly preferred.

Key Responsibilities

Monitor inventory levels and assist with inventory planning to support purchasing decisions
Track order status daily using NetSuite and Excel
Communicate with overseas factories to ensure timely production and delivery
Coordinate with customs brokers and freight forwarders
Assist with customs documentation, duties, and import compliance to ensure timely clearance of shipments
Assist with quality control processes by reviewing product specifications, coordinating with suppliers on quality-related issues, and helping ensure products meet company standards
Track and follow up on quality claims, product issues, and corrective actions with all products
Maintain accurate records, reports, and documentation to support operational efficiency
Provide operational support across Purchasing, Logistics, Inventory Management, Quality Control, and other business functions as needed.

Qualifications

Fluent in Mandarin Chinese and English, with strong verbal and written communication skills
Highly organized with the ability to manage multiple priorities and meet deadlines in a fast-paced environment
Strong sense of urgency, accountability, and customer service
Detail-oriented, analytical, and committed to accuracy
Self-motivated team player with strong problem-solving skills
Proficient in Microsoft Excel and other Microsoft Office applications
Experience in purchasing, importing, logistics, supply chain, or manufacturing operations preferred
Experience with NetSuite or other ERP systems preferred
