Full Job Description

GPI’s Carolinas Branch seeks a full-time Administrative Assistant at our Sumter, SC location. Our ideal candidate is self-motivated and well-mannered with the ability to interact and communicate effectively with clients, vendors, and colleagues. The Administrative Assistant efficiently handles a variety of tasks that assist all departments within our company. This position will be an on-site position at GPI’s Sumter, SC office. Responsibilities:

Manage accounts payable, accounts receivable, and general accounting functions
Prepare and distribute routine management reports, as well as reports requested by leadership
Review and process employee timesheets and expense reports
Provide support to the accounting department as needed
Prepare and process client invoices in accordance with contract terms, client specifications, and company procedures to ensure timely billing and revenue recognition
Maintain project records, including ordering Certificates of Insurance in accordance with contract requirements and maintain related compliance documentation.

Qualifications:

High School Diploma or GED required (College is a plus)
Experience in Administrative and Accounting tasks
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; familiarity with Deltek Vantagepoint is a plus
Highly detail-oriented with strong organizational skills and the ability to prioritize multiple tasks under tight deadlines
Demonstrate ability to adapt to change with a positive attitude while maintaining productivity and focus
Strong analytical and problem-solving abilities with a focus on accuracy and efficiency
Ability to collaborate with cross-functional teams and interact confidently with clients, peers, and senior management

Read, write, and understand plans and directions given in the English language
Basic computer skills with the ability to create and edit Microsoft Word and Excel documents, create Outlook emails and utilize SharePoint and Microsoft Teams to communicate with other team members
