About the South Carolina Cancer Alliance
The mission of the South Carolina Cancer Alliance (SCCA) is to reduce the impact of cancer on all South Carolinians. SCCA serves as a statewide convener and backbone organization for the South Carolina Cancer Plan, bringing together healthcare systems, universities, public health agencies, community organizations, survivors, advocates, and other partners to advance cancer prevention, early detection, treatment, survivorship, health equity, and policy.
Position Summary
The Business and Financial Administrator supports the daily business, financial, membership, and administrative operations of SCCA. This position helps keep the organization's financial house in order, manages membership systems and revenue, supports grants and contracts, and plays a leadership role in planning and executing SCCA's Annual Meeting and other statewide events.
The successful candidate will combine strong bookkeeping and operational skills with excellent customer service. The position works closely with the CEO, staff, outside accounting professionals, funders, members, sponsors, vendors, consultants, and the Board of Directors.
Essential ResponsibilitiesFinancial Administration
· Manage routine bookkeeping functions, including accounts payable, accounts receivable, deposits, invoices, reimbursements, and expense documentation.
· Complete monthly bank and credit card reconciliations and maintain accurate supporting records.
· Process payroll and coordinate payroll reporting, benefit deductions, and related documentation.
· Maintain SCCA's financial records and reporting systems, preferably using QuickBooks.
· Prepare timely internal financial reports, budget-to-actual reports, cash flow updates, and other information requested by the CEO and Board of Directors.
· Track grant budgets, restricted funds, contracts, allowable expenses, and reimbursement requests.
· Coordinate with an outside CPA or accounting firm on state and federal tax filings, annual audits or financial reviews, year-end closeout, and Form 990 preparation.
· Support development of the annual organizational budget and monitor spending throughout the fiscal year.
· Maintain strong internal controls, organized records, and compliance with SCCA financial policies and funder requirements.
Membership Development and Revenue
· Manage SCCA's membership program, including recruitment, onboarding, renewals, dues collection, records, communications, and member services.
· Develop and implement an annual membership growth and retention plan in partnership with the CEO.
· Cultivate relationships with healthcare organizations, nonprofits, businesses, professionals, survivors, advocates, and other prospective members.
· Track membership revenue, renewal rates, engagement, and pipeline activity, and provide quarterly reports to the CEO.
· Meet annual membership revenue, recruitment, and retention goals approved by the CEO and Board of Directors.
· Help develop valuable membership experiences, benefits, communications, and opportunities for statewide engagement.
· Support sponsorship, registration, and other earned-revenue activities connected to meetings and events.
Meetings and Events
· Serve as a lead organizer for SCCA's Annual Meeting and support other statewide, regional, board, and partner events.
· Coordinate venues, vendors, contracts, registration, payments, supplies, speakers, sponsors, volunteers, and event logistics.
· Develop and monitor event budgets, track revenue and expenses, and complete post-event reconciliation.
· Prepare meeting materials, attendance records, agendas, name badges, evaluations, and follow-up communications.
· Work with staff and partners to ensure SCCA events are organized, welcoming, accessible, and professionally executed.
Business and Administrative Operations
· Support day-to-day office and organizational operations, purchasing, technology, insurance, and vendor coordination.
· Maintain contracts, policies, organizational records, vendor files, and required business documentation.
· Support administrative onboarding for staff, consultants, and board members.
· Assist with Board and committee meeting preparation, minutes, financial materials, and follow-up activities as assigned.
· Recommend and implement improvements to financial, membership, and administrative systems.
· Protect confidential financial, personnel, member, and organizational information.
· Perform other duties that support SCCA's mission and statewide work.
Minimum Qualifications
· Associate or bachelor's degree in accounting, finance, business administration, nonprofit management, or a related field, or an equivalent combination of education and relevant experience.
· At least three years of relevant experience in bookkeeping, financial administration, business operations, nonprofit administration, or a closely related area.
· Demonstrated experience with accounts payable, accounts receivable, reconciliations, payroll, and financial reporting.
· Proficiency with QuickBooks and Microsoft Office, particularly Excel, Word, Outlook, and Teams.
· Strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple deadlines.
· Excellent written, verbal, interpersonal, and customer-service skills.
· Ability to work independently while collaborating effectively in a small, mission-driven team.
Helpful Qualifications
· Experience coordinating state and federal tax filings and supporting annual audits or financial reviews.
· Experience with nonprofit accounting, grant reporting, restricted funds, or government reimbursement processes.
· Experience developing or managing a membership program and generating membership revenue.
· Previous experience planning conferences, annual meetings, or special events.
· Experience preparing financial information for executive leadership or a Board of Directors.
· Knowledge of public health, cancer prevention and control, health equity, or statewide coalition work.
Performance Expectations
· Accurate and timely financial records, reconciliations, payroll processing, reports, and grant documentation.
· Consistent collection of receivables, membership dues, sponsorships, and event revenue.
· Achievement of annual membership recruitment, retention, and revenue goals established with the CEO.
· Well-organized and financially responsible execution of SCCA meetings and events.
· Responsive, professional service to members, partners, vendors, staff, and board members.
· Continuous improvement of SCCA's financial and administrative systems.
Work Requirements
· Approximately 30 hours per week, with a schedule established in coordination with the CEO.
· Occasional travel throughout South Carolina and reliable transportation for in-state travel.
· Occasional evening or weekend work for meetings and events.
· Ability to attend SCCA's Annual Meeting and other major organizational activities.
· Ability to perform routine office duties and use standard computer and communications equipment, with reasonable accommodation as needed.
