Centsible Auto Repair is looking for a dependable, organized, and customer-focused person to help keep our repair shop running smoothly. This position is the front-office traffic controller for the shop. You will help customers, support technicians, coordinate parts, manage repair orders, schedule work, and help provide day-to-day direction for the front office and counter workflow.
This is an important role in a busy auto repair environment. The right person will have strong computer skills, good mechanical understanding, excellent follow-through, and the ability to juggle several tasks at once without losing track of the details. This position also includes light supervisory and management responsibilities, helping make sure tasks are completed, communication stays clear, and the team remains organized and productive.
About the Role
The Front Office Coordinator / Counter Specialist is responsible for managing the customer-facing side of the repair shop while also supporting the service team behind the scenes. You will be the connection between customers, technicians, parts suppliers, warranty companies, front office staff, and management.
You will help make sure customers feel informed and taken care of, while helping the technicians and service team stay focused, organized, and productive. In addition to daily counter and administrative duties, this role helps oversee workflow, follow up on incomplete tasks, support team accountability, and assist management with daily shop coordination.
Key ResponsibilitiesCustomer Service & Communication
- Greet customers in a friendly, professional manner
- Answer phones, respond to messages, and communicate by email or text as needed
- Provide clear repair status updates to customers
- Help explain repair processes, timelines, estimates, and invoices
- Follow up with customers before, during, and after service
- Help create a positive, professional, and welcoming front office experience
- Handle customer concerns professionally and involve management when needed
Repair Order & Scheduling Support
- Create, update, and manage repair orders from start to finish
- Schedule appointments and help manage the repair calendar
- Coordinate with technicians to balance workflow and customer needs
- Track jobs through the repair process to help prevent delays
- Make sure notes, approvals, estimates, and invoices are accurate and complete
- Keep customers and team members updated when schedules or repair plans change
- Monitor open repair orders and help ensure jobs continue moving forward
Parts Coordination
- Order, track, receive, and return parts as needed
- Communicate with parts vendors about pricing, availability, delivery times, and credits
- Verify that correct parts are received for the correct jobs
- Help maintain accurate parts records and repair order documentation
- Follow through on backordered, delayed, or incorrect parts
- Help ensure parts processes are organized, accurate, and efficient
Supervising & Light Management
- Help provide daily direction and support to front office/counter staff
- Assist with prioritizing tasks, workflow, and customer needs
- Follow up to make sure assigned tasks are completed accurately and on time
- Help train new team members on front office procedures, customer communication, parts processes, and repair order workflow
- Support accountability by helping identify missed steps, communication gaps, or process issues
- Assist management with daily shop coordination and operational follow-through
- Help maintain a professional, productive, and positive work environment
- Escalate larger customer, employee, or operational issues to management when appropriate
Shop & Office Organization
- Maintain detailed records and organized paperwork
- Keep the counter and front office area clean, organized, and professional
- Help collect payments and answer basic billing questions
- Support service advisors, technicians, and management as needed
- Keep multiple repair orders, customer needs, parts orders, and shop priorities moving efficiently
- Help identify ways to improve front office systems, communication, and workflow
What You’ll Need
- Automotive or mechanical knowledge, with a good understanding of repair processes
- Prior service writing, parts counter, front office, or automotive repair shop experience preferred
- Some supervisory, leadership, or team coordination experience preferred
- Strong computer skills, including Windows, keyboard, mouse, and general office software
- Ability to type quickly and accurately
- Strong organization and attention to detail
- Ability to multitask in a busy, fast-paced environment
