Administrative Client Services Associate in Ellicott City

M-F 9-5

Essential Duties and Responsibilities

Client Service Support

Serve as a professional point of contact for clients via telephone, email, and in-person interactions.
Schedule and coordinate client meetings, review appointments, and follow-up communications.
Prepare and organize client meeting materials, reports, and documentation.
Respond to client inquiries and assist with service requests in a timely and professional manner.
Maintain accurate and up-to-date client records within CRM and office systems.
Follow up on outstanding client paperwork and pending requests.

Administrative Support

Provide direct administrative support to Financial Advisors.
Manage calendars, appointments, and office scheduling.
Prepare correspondence, letters, forms, and client communications.
Organize, scan, upload, and maintain electronic and physical client files.
Process incoming and outgoing mail, fax communications, and office documentation.
Coordinate office operations and maintain office supply inventory.
Assist with special projects and additional administrative tasks as assigned.

Financial and Compliance Support

Assist with the preparation and processing of account paperwork, including account openings, transfers, beneficiary updates, distributions, and other client service forms.
Review documentation for completeness and accuracy prior to submission.
Track pending items and ensure deadlines and compliance requirements are met.
Maintain confidentiality of client financial and personal information.
Support adherence to firm policies, procedures, and industry regulations.
Communicate with custodians, financial institutions, and internal operations departments regarding account servicing matters.

Technology and Systems

Utilize CRM software, financial platforms, and Microsoft Office applications on a daily basis.
Maintain accurate data entry and electronic recordkeeping.
Assist clients with online portal access and electronic signature processes.
Generate reports and assist with document management processes.

Qualifications

High school diploma or equivalent required; associate or bachelor’s degree preferred.
Previous administrative or customer service experience preferred.
Financial services or wealth management industry experience preferred.
Strong organizational skills and exceptional attention to detail.
Excellent verbal and written communication abilities.
Ability to prioritize tasks and manage multiple deadlines effectively.
Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
Ability to maintain professionalism and confidentiality at all times.

Pay: $21.00 - $23.00 per hour

Work Location: In person
