Full Job Description

Job Summary

The Sales Coordinator provides administrative and operational support to the hotel’s sales team, assisting with catering, group, and sales activities. This position helps ensure all sales functions run smoothly by maintaining accurate records, coordinating internal communications, and assisting with smaller events and group bookings under manager direction. This position will primarily work Monday-Friday from 8:00-4:30pm. Hours are flexible.

Responsibilities

Administrative Support

Maintain accurate client and booking information in the CRM system.
Prepare proposals, contracts, and BEO packets for review by managers.
Distribute BEOs and function sheets to appropriate departments.
Manage incoming inquiries by phone and email, routing to the correct manager.
Prepare and distribute sales activity and pace reports.
Maintain office supplies, marketing materials, and event inventory.
Assist with front desk operations one day a week.

Group Sales Assistance

Process group rooming lists once approved by the Sales Manager or Group & Revenue Sales Manager.
Assist with room block setup and updates in the PMS/CRS.
Track signed contracts, deposits, and deadlines for group bookings.

Catering & Event Support

Assist with detailing small meetings or social events when assigned by a manager.
Help coordinate menu selections, event diagrams, and setup notes.
Assist with vendor communication for assigned events.
Prepare signage, place cards, and registration materials as needed.

Event Day Support

Greet clients and assist with registration or event setup.
Serve as a communication link between sales and operations during events.

Qualifications

Strong organizational skills and attention to detail.
Professional written and verbal communication skills.
Ability to handle multiple priorities in a fast-paced environment.
Proficient in Microsoft Office; experience with CRM/event management software a plus.
