Full Job Description

Overview
We are seeking an individually with at least 2-3 years of experience., preferably in the construction field but not required. This role is essential in supporting various HR functions and ensuring smooth operations within the department. The ideal candidate will possess strong organizational skills, a solid understanding of HR processes, and proficiency in HR software systems. As an Office Manager Assistant, you will play a vital role in enhancing employee experience and contributing to the overall success of our organization. Your job duties will be divided in to this 3 catergories

Human Resources

The understanding of discretion and confidentiality when handling highly sensitive materials/information
Collaborate between employees and management in the assisting of individual and team request, workers compenstation, and benefits experience and practices
EEOC inquires: understanding, interpreting, administering, and mediating all forms
Oversight of all aspects of new startup offsite projects, including: correspondence, site check data for insurance company, assign location code number, and requesting State & Federal posters for compliance with EEO/OSHA, etc.
Communication and preparation of documents for the Department of Labor regarding company EEO requirments
Input of all purchase orders and subcontracts
Management of multiple types of accident reports from start to finish; worker's compensations, proper communication with insurance companies, and the scheduling of follow-ups

Office Manager

In charge of mulitple operations and safety manuels; EEO, Superintendents, Hazard Material (SDS), Training, Safety, Equipment, and Professional Crane Operator
Communications between CCO crane operators and truck drivers to make sure all their required work information is tracked, updated and renewed
In charge of monthly lease billing and maintenance for Barge and Equipment Leases
Communications with the Department of Motor Vehicle for driving records for anybody driving a company vehicle
Safety Supplies; ordering, mainting, and keeping up to date of any regulation changes

Executive Assistant

Greeting and assisting of visitors
Answering and transferring of all calls
Staff travel arrangements
Make copies
Delivering and picking up all mail on time
Office equipment is functioning properly
Office supplies are organized and ordered on time
Carpet cleaning
Bug spraying
HVAC needs
Cleaning services

Requirements

Proven experience as an Construction Administrative Assisant/Manager.
Familiarity with HR software systems such as Dayforce, Taleo, ATS, or Kronos is highly desirable.
Strong negotiation skills and ability to communicate effectively with employees at all levels.
Knowledge of payroll processes and related compliance requirements.
Understanding of OSHA regulations and commitment to workplace safety practices.
Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
A proactive approach to problem-solving and process improvement initiatives.
Ability to handle sensitive information with discretion and maintain confidentiality at all times.
