Position Overview

Spero Partners, Inc. is seeking a highly organized, client-focused Marketing & Scheduling Coordinator to support our financial services practice. This position is ideal for a dependable professional who enjoys creating an exceptional client experience, managing details, and keeping a fast-paced advisory business organized.

This is not a sales or cold-calling role. The primary focus is coordinating appointments with existing clients and interested prospects, maintaining accurate CRM records, supporting case follow-up, and assisting with the personal and professional scheduling needs of the business owner.

The role offers a flexible, primarily work-from-home schedule, with an expectation of working in the office approximately one to two days per week.

Core Responsibilities

Scheduling and client coordination

Schedule and confirm meetings for existing clients, prospective clients, strategic partners, and internal team members.
Respond promptly and professionally to scheduling inquiries by phone, email, text, and other approved communication channels.
Manage appointment reminders, rescheduling, confirmations, and preparation for upcoming meetings.
Coordinate Zoom, phone, and in-person meetings, including calendar invitations and meeting details.
Help ensure clients and prospects have a smooth, professional experience from initial contact through ongoing service.

CRM and case follow-up

Maintain accurate, complete, and timely client and prospect records in the company CRM.
Enter and update notes, contact information, meeting outcomes, tasks, follow-up dates, and relevant case details.
Monitor open cases and follow-up items to help ensure that client requests, document needs, and internal action items are addressed promptly.
Assist with tracking case progress and communicating appropriate status updates to clients and internal team members.
Help maintain consistent workflows, task lists, and client-service standards.

Marketing and administrative support

Assist with client outreach campaigns, event invitations, appointment-setting initiatives, and follow-up communications.
Prepare, format, and distribute professional email communications, meeting materials, basic reports, and client-facing documents.
Support the coordination of client seminars, webinars, educational events, and other marketing activities as needed.
Help organize marketing lists, campaign responses, and prospect follow-up activity.
Maintain confidentiality and professionalism when working with sensitive financial, tax, and personal information.

Executive and travel support

Manage the business owner’s professional calendar, including meetings, travel time, preparation blocks, and priority commitments.
Coordinate personal and professional travel arrangements, including flights, hotels, ground transportation, itineraries, and related scheduling.
Schedule personal appointments and assist with calendar coordination as assigned.
Anticipate scheduling conflicts and proactively recommend solutions.

Qualifications

Required

Strong organizational skills, attention to detail, and ability to manage multiple priorities.
Excellent written and verbal communication skills with a polished, professional client-service approach.
Experience using Microsoft Office Suite, including Outlook, Word, Excel, Teams, and calendar-management tools.
Experience using a CRM system and maintaining accurate records, notes, activities, and follow-up tasks.
Comfort communicating by phone, email, text, and video conference.
Ability to handle confidential client, tax, and financial information with discretion.
Self-motivated and dependable in a remote or hybrid work environment.
Ability to work independently while remaining responsive and accountable to the team.

Preferred

Prior experience in financial services, wealth management, insurance, tax planning, accounting, legal, or another professional-services environment.
Experience supporting advisors, consultants, executives, or client-service teams.
Familiarity with appointment scheduling, client onboarding, case management, or document follow-up workflows.
Experience with CRM platforms such as eWay-CRM, Salesforce, Redtail, HubSpot, or similar systems.
Experience coordinating travel, executive calendars, client events, webinars, or marketing communications.

The right person will be comfortable working behind the scenes to keep the business moving efficiently while protecting the company’s reputation for responsiveness and high-quality service.

Work Schedule and Location

Flexible work schedule based on business and client needs.
Primarily remote/work-from-home position.
Expected in-office availability approximately one to two days per week in the Birmingham-area office.
Some schedule flexibility may be needed to accommodate client meetings, travel coordination, events, or time-sensitive case follow-up.

Compensation

Compensation will be commensurate with experience, qualifications, financial-services background, and demonstrated administrative, CRM, scheduling, and client-service capabilities.
