Full Job Description

Overview: We are seeking a highly organized and dependable Administrative Assistant to join our construction office on a full-time basis from 8:30 a.m. - 5:00 p.m. Monday - Friday. The ideal candidate is detail-oriented, professional, and comfortable working in a fast-paced environment while managing multiple priorities.

Key Responsibilities:

Answer phones, respond to emails, greet visitors, and serve as a professional point of contact for customers and vendors.
Provide administrative support to the operations managers, estimators, dispatchers, office and field personnel.
Prepare, organize, and maintain project documents, contracts, invoices, lien waivers, and correspondence.
Take and enter job orders from customers as needed.
Handle accounts receivable activities such as deposits, ACH payments, and credit card payments.
Order office supplies as needed and manage inventory.
Type and send job quotes for operations managers and estimator.
Review and revise daily job tickets in dispatching system for billing.
Communicate with operations managers, estimators, dispatchers, and customers regarding project specific paperwork, customer credit applications, and safety questionnaires.
Obtain and send out certificates of insurance as needed.
Pull ODOT lettings on potential work to be quoted.
Create and email certified payroll reports on projects where no work was performed.
Manage accounts receivable and collections, including monitoring outstanding balances, following up on past-due accounts, processing payments, and maintaining accurate customer account records.
Renew and/or register city an county licenses as needed.
Perform filing, scanning, copying, and other administrative tasks as assigned.

Qualifications:

High school diploma required; Associate degree in business administration, or related field preferred.
Eperience in construction, contracting, or related industry preferred.
Strong organizational, communication, and multitasking abilities.
Ability to handle confidential information appropriately.
Proficiency with Microsoft Office, QuickBooks, or construction/project management software is a plus.
Ability to work effectively in a deadline-driven environment.
Able to work independently with minimal supervision.
Strong team collaboration.
