Full Job Description

Location: Worthington, Ohio
Schedule: Approximately 25 hours per week (Flexible Schedule)

The Ohio Fire Chiefs' Association (OFCA) is seeking a motivated, organized, and customer-service-oriented Part-Time Administrative Assistant to support the daily operations of the Association. This position plays a vital role in ensuring the office runs efficiently while providing exceptional service to our members, vendors, and guests.

The ideal candidate is dependable, detail-oriented, and enjoys working in a collaborative environment where no two days are exactly alike.

Primary Responsibilities

Answer and direct incoming telephone calls and respond to general inquiries.
Welcome members, vendors, and visitors in a professional and courteous manner.
Provide outstanding customer service to Association members.
Perform daily administrative and clerical duties, including filing, copying, scanning, and data entry.
Assist with maintaining membership records and databases.
Process incoming and outgoing mail and deliveries.
Order, organize, and maintain office supplies and equipment.
Prepare meeting rooms, training materials, and refreshments for board, committee, and membership meetings.
Clean and restore meeting spaces following meetings and events.
Assist with conference registrations, meeting logistics, and special events.
Prepare correspondence, reports, spreadsheets, and other documents using Microsoft Office.
Assist with website updates, member communications, and mailings as assigned.
Schedule meetings and maintain calendars for the Executive Director.
Provide administrative support to the Executive Director, Board of Directors, committees, and Association members.
Assist with special projects and perform other administrative duties as assigned.

Qualifications

High school diploma or equivalent; associate degree or administrative training preferred.
Previous administrative, office, or customer service experience preferred.
Excellent organizational and time management skills.
Strong verbal and written communication skills.
Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
Ability to prioritize multiple tasks while maintaining accuracy and attention to detail.
Professional demeanor with strong interpersonal skills.
Ability to work independently while contributing as part of a team.
Ability to maintain confidentiality and exercise sound judgment.
Ability to lift and carry up to 25 pounds for meeting and event preparation.
