Job Title:Office Administrative AssociateDepartment:Dentistry | Dental HygieneAbout the DivisionThe Division of Dental Hygiene at The Ohio State University College of Dentistry is seeking an Office Administrative Associate to support its academic programs and operations.The Division includes:Two undergraduate programsOne graduate programBoth in-person and asynchronous online instructionThe program prepares students to join dental health teams focused on oral health and disease prevention. Notably, it is:The only dental hygiene program in Ohio affiliated with a dental schoolThe only program in the state offering a master’s degree in dental hygienePosition SummaryThe Office Administrative Associate provides high-level administrative support to the Chair of the Division of Dental Hygiene. This role requires independent judgment, discretion, and the ability to manage both routine and complex administrative functions with minimal supervision.Key ResponsibilitiesSupport the Division Chair in daily operations and strategic initiativesEnsure timely completion of division goals, projects, and deadlinesRepresent the Chair and Division to:College leadershipStudentsExternal organizations and community partnersResearch & ReportingResearch and analyze the following to provide recommendations and updates to the Division Chair:ProgramsPolicies and proceduresOperational dataPrepare and maintain reports and documentation using network and cloud-based systemsBudget & Financial ProcessesMonitor and manage division budgets across multiple funding sources in conjunction with the ChairInitiate financial transactions, including:Spend authorizationsTravel arrangementsExpense reimbursementsScheduling & CoordinationManage the Chair’s calendar and meeting schedulesCoordinate complex meetings involving multiple stakeholdersMaintain shared calendars for classrooms and conference spacesOffice & Program SupportPerform advanced administrative tasks, including:Document preparation and collaborationFile and data management in cloud-based systemsHandling confidential informationSupport personnel and documentation processesAssist in program planning and clinical exam coordinationProvide guidance and task direction to coworkersAssist faculty with classroom technology issuesAssist the Chair and any Search Committee Chair with faculty recruiting including:Meeting organizationInterview schedulingCompliance documentation tracking through web based tracking services and committee and college-wide surveysCommunications & ComplianceManage division website and social media presenceCompile and update materials, including:Clinic manualsBooklistsPublished resourcesEvents & Special ProjectsPlan and coordinate division events and activitiesCollaborate with other departments on shared initiativesFacilitate logistics for special events and programsAdditional DutiesIdentify and implement process improvementsPerform other duties as assignedTarget Pay Range: $21.35 - $27.88 (based on education and relevant experience)Additional Information:Minimum Qualifications:High School diploma or GED.
