Purchasing Specialist

Construction Industry – Full-Time in Office Position

We are an established outdoor design-build firm looking for the right person to join our team. Things move fast around here, and we need an organized Purchasing & Inventory pro who can keep pace. This role helps keep projects running smoothly by managing purchasing, tracking inventory, coordinating deliveries, and supporting our field crews. This is a full-time, fast-paced but casual office environment where no two days are exactly the same. The ideal candidate is detail-oriented, comfortable multitasking, communicates well, and enjoys staying organized. This is a fast-paced, active position that blends office work with hands-on involvement in our warehouse and inventory operations. You'll help manage materials, coordinate shipments, and frequently lift and organize hardscape materials up to 60 lbs.

Responsibilities

Purchasing / Procurement

Create material lists using estimating/quoting software and order necessary construction materials, appliances, and supplies.

Vendor Relations: Negotiate pricing and availability with vendors, track back-orders, and maintain strong supplier communication.

Delivery Logistics: Schedule and track job-site deliveries, verify incoming shipments for accuracy, and assist with local material pickups when needed.

Inventory Management & Staging

Inventory Control: Track and organize inventory across the warehouse, including designated staging areas, loft, rows, and bays.

Database Maintenance: Keep purchasing, receiving, and inventory databases meticulously updated.

Site Fulfillment: Pull existing inventory for active jobs and return/restock unused materials.

Showroom & Storage: Assist with showroom displays, general upkeep, and maintain clean, organized inventory and storage areas.

Coordination & Documentation

Cross-Team Collaboration: Coordinate with field crews, project managers, and office staff to ensure material needs are met.

Project Documentation: Maintain electronic records (serial numbers, warranties, shipping labels) and prepare project manuals and documentation for customers.

Software Operations: Utilize Microsoft 365 (Excel, Outlook, OneDrive, PowerPoint), Dynascape, Buildertrend, and other dedicated software systems.

What We’re Looking For

Strong organizational and communication skills

Ability to multitask and stay focused in a busy environment

Comfortable using computers, spreadsheets, and various software systems

Self-motivated with good attention to detail

Construction, purchasing, warehouse, or inventory experience is helpful but not required

The ability to operate or learn to operate equipment such as forklifts and bobcats.
