Full Job Description

Luxury Pools & Living is seeking a dependable, organized, and customer-focused Office Administrator / Client Coordinator to join our growing team.

This position is the first point of contact for many of our clients. We are looking for someone who enjoys helping people, stays calm under pressure, and takes pride in keeping an office organized and running efficiently.

Responsibilities

Answer and direct incoming phone calls
Greet and assist clients in person
Help resolve customer questions and concerns with professionalism and compassion
Prepare and send customer invoices and construction draw requests
Enter payments, invoices, and transactions into QuickBooks
Maintain accurate customer records and job files
Coordinate with project managers and office staff to keep projects moving smoothly
Assist with scheduling and general administrative duties
Support the office with day-to-day operations as needed

Qualifications

Previous office or administrative experience preferred
Experience with QuickBooks is preferred.
Strong customer service and communication skills
Excellent organizational skills and attention to detail
Ability to prioritize multiple tasks in a fast-paced environment
Professional appearance and positive attitude
Proficient with Microsoft Office and general computer applications
