Job Overview

Our statewide industry trade association has an opportunity to join our team as an Event Planning, Meetings & Conference Manager to lead the organization and execution of high-profile events, meetings, and conferences. This role is vital in creating memorable experiences that align with organizational goals, enhance member engagement, and promote the organization's visibility.

This position will collaborate with and receive input and support from leaders of other areas of our operations, including education, membership and communications. This is a cross-training opportunity, with the chance to be involved in and impact virtually all aspects of a statewide business association.

The ideal candidate will possess exceptional organizational skills, a proactive approach to project management, and a passion for delivering outstanding hospitality and event services. You will be responsible for managing all aspects of event planning from inception to completion, ensuring seamless coordination among vendors, members, and internal teams. This position offers an exciting opportunity to showcase your expertise in event marketing, budgeting, and team leadership within a fast-paced environment. You also have leadership opportunities of key volunteers and committees.

Responsibilities

Develop comprehensive event plans including timelines, budgets, vendor negotiations, and logistics coordination to ensure successful execution of conferences and meetings.
Manage event budgets meticulously, tracking expenses and identifying opportunities for upselling additional services or enhancements to maximize revenue.
Coordinate with catering teams, venue staff, technical support, and other vendors to deliver exceptional guest experiences aligned with event objectives.
Utilize event management/CRM system to streamline planning processes, maintain detailed records, and facilitate effective client communication.
Oversee all aspects of event marketing efforts to promote upcoming events through various channels, increasing attendance and engagement.
Lead a team of event staff and vendors by providing clear direction, fostering collaboration, and ensuring high standards of customer service throughout each event.
Negotiate contracts with venues, suppliers, and service providers to secure favorable terms while maintaining quality standards.
Conduct post-event evaluations to gather feedback for continuous improvement and identify opportunities for upselling future events or related services.
Manage awards nomination and judging processes using online platform.
Improve our overall meeting strategies and tactics.
Work with/manage member volunteers on related committees.

Experience

Four-year degree or equivalent, with preference for focus in disciplines related to duties of this position.
Proven experience in event planning or hospitality industry roles with a strong background in managing large-scale meetings or conferences.
Demonstrated success in managing event budgets from start to finish while maximizing profitability through upselling strategies.
Proficiency in Microsoft Office Suite along and familiarity with event management software platforms and/or CRM systems.
Excellent negotiation skills paired with the ability to communicate effectively with clients, vendors, and team members at all levels.
Strong organizational skills with the ability to manage multiple projects simultaneously under tight deadlines.
Previous experience in banquet operations, restaurant/hospitality environments, or associations is highly desirable.
Leadership qualities that inspire teamwork and ensure exceptional guest services during events.
