Full Job Description

The Administrative Assistant is a key link in supporting the efficient and smooth day-to-day operations of the organization. Reporting to the President & CEO, this role provides overall administrative support, acting as the welcoming first point of contact for stakeholders, and ensuring that our team has the resources needed to further our mission.

Key Responsibilities

1. General Administration & Office Management

· Support the President & CEO with calendar scheduling, meeting preparation, gatekeeping, and overall support as needed.

· Serve as the primary point of contact for the organization: answer incoming phone calls, respond to general inquiries, and greet visitors with a warm, professional demeanor.

· Manage office operations, including ordering supplies, maintaining office equipment, and keeping common areas organized.

· Handle incoming and outgoing mail, packages, and shipments.

· Maintain accurate and organized physical and digital filing systems.

2. Program & Development Support

· Assist with development outreach, processing of donations and grants, including logging checks and preparing timely donor acknowledgement letters.

· Help prepare and assemble materials for community programs, workshops, and direct mail campaigns.

· Support event coordination by managing registrations and assisting with even setups.

3. Board of Directors & Meeting Support

· Assist in coordinating board meetings, including scheduling and reserving meeting spaces.

· Prepare and distribute meeting agendas, packets, and relevant documents.

· Attend meetings when requested to take, transcribe, and distribute meeting minutes.

4. Technology & Communications

· Troubleshoot basic office technology issues and work with IT support when necessary.

Qualifications & Skills

· Experience: 1-3 years of experience in administrative support, office management, or nonprofit project coordination.

· Education: Bachelor’s degree preferred, or an equivalent combination of education and experience.

· Mission Alignment: A strong passion for the organization’s mission and a commitment to serving the community.

· Organization: Exceptional organizational skills with a high level of attention to detail and ability to manage competing priorities.

· Communication: Excellent written and verbal communication skills. A warm, friendly, and respectful phone and in-person manner.

· Tech Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

· Discretion: Ability to maintain confidentiality and handle sensitive organizational and donor information with discretion.

Physical Demands & Work Environment

· This role operates in a professional office environment.

· Requires the ability to sit or stand for extended periods, and occasionally lift or move up to 20 pounds.

Pay: From $18.00 per hour

Work Location: In person
