Location: Worthington, OH (In-person)

Pay Range : $80,000 to $120,000 annual salary + bonus opportunities

Key Responsibilities

The Director of Operations is responsible for ensuring the business operates efficiently, compliantly, and in alignment with the firm’s mission to deliver an extraordinary client experience. This leader oversees day‑to‑day operational functions, manages operations teams, improves processes, and supports the CEO and leadership team in driving firmwide excellence.

As a Director of Operations, you will be at the heart of delivering a high-touch client experience, ensuring that every interaction reinforces our commitment to caring more and doing more.

Daily Responsibilities

Conduct daily check‑ins with Operations Teams (Client Service, New Business, Office Administration).
Serve as liaison between Leadership and Operations Teams, and between advisors/non‑operations staff and Operations Teams.
Coordinate and communicate with vendors, including IT partners.
Provide peer support to the Director of Client Experience.
Oversee scheduling of all client meetings.
Review, refine, and implement business processes.
Resolve client issues or complaints.
Monitor quality and productivity deliverables for New Business, Client Service, and Office Administration.
Provide personalized account and market updates that empower clients to reimagine what’s possible for their financial future, both in person and Zoom meetings.
Proactively address client inquiries and service requests, with an emphasis on providing clarity and confidence in every interaction.
Support existing client plans and ensure that clients feel cared for and understood throughout their financial journey.
Support pre-appointment preparation, gathering key information to ensure that client reviews are thorough and meaningful.
Play a pivotal role in the client experience by handling transactions and managing RMDs, always operating with the precision and care that makes our firm stand out.

Weekly Responsibilities

Lead weekly operations team meetings and manage action items.
Prepare for and facilitate Operations Leadership Meetings with CEO/CFO.
Maintain and uphold a best‑in‑class client experience.
Oversee CRM data integrity and maintenance.

Monthly Responsibilities

Conduct one‑on‑one meetings with team members.
Report on Quality Assurance metrics.

Quarterly Responsibilities

Review individual goals with team members.
Update HR files with performance notes.

Annual Responsibilities

Prepare and deliver annual performance reviews for direct reports (Office Administrator, Client Service Team, New Business Team, Business Development Associate)
Oversee year‑end operational processes.
Manage annual RMD (Required Minimum Distribution) processes.

As‑Needed Responsibilities

Make operational decisions in absence of the Leadership Team.
Track and manage staff time off and coverage planning.
Ensure firmwide compliance standards are met.
Maintain the Operations Manual.
Provide overview of Human Resource offerings including health, dental and vision benefits
Oversee Paid Time Off (PTO) requests, approvals, and tracking
Hire, onboard, and train new employees.
Manage office technology projects (computers, phones).

Qualifications

Knowledge, Skills & Abilities

Strong ability to prioritize projects and manage time for self and team.
High attention to detail and strong follow‑through.
Results‑driven problem solver.
Exceptional communication and phone skills; strong command of professional English.
Ability to work effectively in a fast‑paced environment.
Proficient with computers, software tools, and CRM systems.
Experience managing staff and supporting business owners.
Ability to motivate teams and lead by example.
Highly organized, proactive, and resourceful.

Required Qualifications

3-5 years in an Operations Leadership capacity (financial services preferred but not required)
Must be able to work on site in Worthington, OH
Valid Driver's License

Preferred Qualifications

MBA (Master of Business Administration), or Master’s in Management or Organizational Leadership
Continuous Improvement background (Lean Six Sigma Green Belt or Black Belt)
SHRM‑CP or SHRM‑SCP (Society for Human Resource Management) Certification
