Title: Administrative Assistant

Reports to: Director of Martin de Porres Center

FLSA Status: Non-Exempt; Full time

POSITION SUMMARY: The individual provides administrative and clerical support to the Martin de Porres Center Director and assists in day to day activities; coordinates Center meeting room logistics and event planning; facilitates the flow of information to both internal and external constituent groups; maintains presentation and webcasting equipment and facilitates its use by presenters and visiting groups; processes information and communicates projects and services as directed.. The scope of responsibility for this position includes:

· Coordinates arrangements for groups using the Center

· Administrative support

· Provides clerical and word processing support

· Communicates Martin de Porres Center projects and services

DIRECT REPORTS INCLUDE: N/A

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Coordinates arrangements for groups using the Center

· Assists with scheduling use of rooms

· Communicates with event organizers to manage details of room set up, use of technology and catering

· Works with kitchen and maintenance staff to carry out event details

· Sets up equipment and facilitates/troubleshoots its use during events

· Put out refreshments as needed

· Assists with clean-up after events, including washing and putting away dishes, disassembling refreshment tables, transporting catering equipment back to kitchen, and restocking kitchen items.

· Compiles and emails invoices to event organizer, processes payment, provides income data to director

Administrative Support

· Maintains program registration forms

· Assists in registration of program participants

· Greets program participants and volunteers

· Maintains program attendance statistics

· Processes registration income for report to director

· Keeps volunteer and program records

· Builds a relationship with guests

· Facilitates workload of Director – this is same as program registration.

· Assists with information requests and researches information as directed

· drafts documents, reports and composes responses to incoming correspondence and/or E-mail

· Greets visitors and provides welcoming presence

Provides clerical and word processing support

· Answers calls and maintains daily calendars for the Director

· Drafts basic forms, labels, and composes routine correspondence

· Prepares expense reports as needed

· Maintains and organizes files

· Maintains and operates office equipment (i.e. computer, copier, room projectors)

· Maintains inventory of office supplies and purchases/orders office supplies, equipment and event supplies

Communicates Martin de Porres Center projects and services

· Drafts email correspondence

· Works with communications to maintain website information

· Manages social media postings

· Maintains the center’s newsletter

· Participate in meetings with staff as needed

Skills, Knowledge and Abilities

· Ability to effectively communicate verbally and in writing, including proper use of the English and Spanish language, grammar, spelling, and punctuation

· Demonstrates regular and predictable attendance, and models behavioral expectations to direct reports

· Ability to work within a collaborative management model and to also work independently

· Ability to prioritize activities and tasks, effectively handle multiple projects and daily tasks simultaneously, and oversee allocation of work among team members

· Ability to use personal computer equipment, including laptop, telephone, copier/scanner, printers, and related equipment; ability to operate office equipment that may require repetitive hand movement and fine motor coordination, including use of a computer keyboard and mouse

· Business practices and terminology, telephone etiquette, word processing and spreadsheet software (i.e. Microsoft Word and Excel)

· Work in fast-paced, team-oriented environment

· Communicate effectively with Sisters, Staff, Vendors, and Visitors

· Creatively solve issues stewarding resources wisely

· Maintain professional and pleasant demeanor

· Positive interpersonal skills

· Maintain confidentiality

· Follow directions

· Work under pressure

· Work requires continuous activity and with frequent interruptions

· Ability to troubleshoot equipment before and during events

Required Minimum Qualifications

Education: . Associate’s Degree in Business field or related field or equivalent; core courses in word-processing and office management. Depending on education and work experience, other areas of study may be considered as qualifying applicant for this position.

Experience: Two years as an administrative assistant/secretarial position or equivalent;

Requirements: Must possess a valid driver's license. Must have an openness to learn about Catholic faith and vowed religious life. Proficient in a variety of computer software and database programs. Must be able to work a flexible schedule including weekends and evenings. Must be proficient in Spanish.

Working Conditions/Physical Requirements: Essential functions of this position require physical ability and mobility to work in an office setting. Ability to sit, stand, reach, carry and occasionally bend up to 8 hours a day, occasionally arranges furniture.

Management reserves the right to modify the foregoing job parameters at any time.

Pay: $17.63 - $20.00 per hour
