About Us

National Patrol Services LLC (NPS) is a Columbus-based contract security firm serving government and commercial clients across Ohio, Pennsylvania, Michigan, Wisconsin, Texas, and Florida. For over 14 years, we've provided professional armed and unarmed security officers to state agencies, courts, housing authorities, and private facilities. As we continue to grow, we're looking for a highly organized Operations & Scheduling Coordinator to keep our field operations running smoothly.

Position Summary

The Operations & Scheduling Coordinator is the backbone of our daily operations. You will build and manage guard schedules across multiple sites and states, ensure every post is covered on time, respond to call-offs and coverage gaps, and support onboarding and compliance for our security officers. This role is ideal for someone who thrives on organization, communication, and problem-solving in a fast-paced environment.

Key Responsibilities

Build, publish, and maintain weekly guard schedules across multiple client sites in Ohio and Pennsylvania

Monitor shift coverage daily; fill open shifts and respond quickly to call-offs, no-shows, and emergency coverage needs

Serve as the first point of contact for officers regarding schedules, shift changes, and time-off requests

Track officer hours to control overtime and ensure contract staffing requirements are met

Verify timekeeping records and assist with payroll preparation each pay period

Support new-hire onboarding: collect documents, track licenses/certifications (guard registrations, Act 235, firearms qualifications), and monitor expiration dates

Maintain accurate personnel and site files in compliance with state licensing requirements

Communicate professionally with client site contacts regarding coverage and scheduling matters

Assist management with reports, uniform/equipment tracking, and general administrative support

Qualifications

Required:

High school diploma or GED

1+ year of experience in scheduling, dispatch, staffing, workforce coordination, or administrative operations

Strong computer skills (Microsoft Excel/Word, Google Workspace, email)

Excellent phone and written communication skills

Ability to stay calm and solve problems under time pressure

Strong attention to detail and follow-through

Reliable transportation and ability to work on-site in Columbus

Preferred:

Experience in security, staffing agency, home care, or other 24/7 shift-based industries

Familiarity with scheduling/workforce software (e.g., Silvertrac, TrackTik, When I Work, or similar)

Bilingual a plus
