Full Job Description

MISSION:

POSITION SUMMARY:

The Receptionist/Administrative Clerk is responsible for answering and transferring all telephone calls using multiple-line equipment. Represents the Agency to callers and visitors in a friendly professional manner. Performs routine clerical duties such as filing, word processing, and sorting. This position will come into frequent contact with the CEO, Executive Assistant to CEO, COO/CFO, Controller, Accounting Staff, and other various administrative and program personnel.

ESSENTIAL JOB FUNCTIONS:

Assist with a variety of administrative tasks such as copying, taking notes, faxing, and filing documents.
Greet and manage customers and visitors when they arrive at the assigned Drew CDC facility.
Answer all incoming calls 4-line phone system and direct the caller to the appropriate department/employee.
Receive and distribute all agency incoming mail and coordinate overnight mail deliveries.
Perform routine clerical duties such as filing, word processing, prepare agency’s vendor bills for mailing, and validate provider payments with invoices.
Provide administrative support to staff to include agency projects and events including handling meeting and conference room calendar coordination, meeting room setup and breakdown.
Ensure the reception area is tidy and presentable, with all necessary stationery and material pens, forms, and brochures
Maintaining and replenishing supplies for copiers, fax machines, and other office equipment.
Perform other related duties as assigned.

MINIMUM QUALIFICATIONS:

Associate's Degree from an accredited institution and one (1) year experience OR
High School Diploma plus 3+ years’ experience as a receptionist, working in an office setting, and including hands-on experience with working within customer service

Work Schedule:

Monday, Wednesday, and Friday
Part-time; 24 Hours Per Week
