Position Summary
We are seeking a dependable and detail-oriented Inventory Control and Vendor RMA Specialist to support the receiving, organization, tracking, distribution, and replacement of computer components used in our production and service operations.
This position is responsible for receiving incoming inventory, accurately recording components in NetSuite, issuing parts to production employees and work orders, conducting inventory audits, and managing defective components through the vendor RMA process. The employee will coordinate vendor returns, track replacement parts and credits, and ensure that replacement inventory is properly received, documented, and returned to the appropriate department or customer service workflow.
The ideal candidate is organized, comfortable working with computer hardware, and able to maintain accurate records in a fast-paced warehouse and manufacturing environment.
Key ResponsibilitiesReceiving and Inventory Management
- Receive incoming computer components, hardware, supplies, replacement parts, and other inventory delivered by vendors and carriers.
- Verify received products against purchase orders, packing slips, vendor RMA documentation, and other receiving records.
- Inspect incoming shipments for shortages, incorrect products, visible damage, or other discrepancies.
- Accurately scan and enter received inventory into NetSuite.
- Record serial numbers, quantities, item locations, and other required inventory information.
- Label, organize, and place components in their designated inventory locations.
- Scan and issue components to production employees, departments, work orders, system builds, repair orders, or RMA cases.
- Ensure all inventory movements, transfers, returns, and adjustments are accurately recorded in NetSuite.
- Prepare and organize component kits for computer assembly, production, testing, and repair operations.
- Process unused or returned components back into the appropriate inventory location.
Vendor RMA and Replacement-Part Management
- Manage defective or failed computer components through the vendor return merchandise authorization process.
- Review internal part-return requests to confirm that required information, serial numbers, testing results, and supporting documentation have been provided.
- Request RMA authorization numbers from manufacturers, distributors, and other vendors.
- Communicate with vendors regarding defective components, warranty eligibility, replacement status, repair status, credits, and claim requirements.
- Prepare defective components for shipment in accordance with vendor packaging and return requirements.
- Ensure vendor RMA shipments include the correct components, serial numbers, documentation, labels, and authorization information.
- Record and maintain accurate vendor RMA information in NetSuite or other company tracking systems.
- Track open vendor RMA cases from initial submission through repair, replacement, credit, or final resolution.
- Follow up with vendors regarding delayed, missing, denied, or incomplete RMA claims.
- Receive and inspect replacement or repaired components returned by vendors.
- Verify that replacement parts match the approved RMA, including part number, model, serial number, quantity, and condition.
- Scan replacement components into NetSuite and assign them to the appropriate inventory location, production order, repair order, department, or customer RMA case.
- Coordinate with the repair, production, technical support, purchasing, and accounting teams to ensure replacement parts and vendor credits are properly applied.
- Maintain separation and accurate labeling of defective, pending-RMA, replacement, repaired, and non-returnable inventory.
- Identify components that are approaching the end of their vendor return or warranty eligibility period.
- Escalate recurring product failures, vendor delays, denied claims, or replacement-part shortages to management.
- Assist with reconciling vendor RMA records, replacement inventory, and outstanding vendor credits.
Inventory Accuracy and Auditing
- Perform regular cycle counts and physical inventory audits.
- Compare physical inventory against NetSuite records and investigate discrepancies.
- Audit inventory accounts, transactions, serial-number records, vendor RMA records, and inventory adjustments.
- Assist with correcting inventory records after discrepancies have been reviewed and approved.
- Maintain accurate inventory for high-value computer components, including processors, graphics cards, motherboards, memory, storage drives, power supplies, cooling systems, and other system hardware.
- Research missing, incorrectly issued, improperly returned, or misallocated components.
- Identify low-stock items, misplaced inventory, recurring inventory-control issues, and unresolved vendor RMA items.
- Assist with inventory transfers between departments or company locations.
Operational Support
- Coordinate with purchasing, receiving, production, quality assurance, shipping, technical support, repair, and accounting teams regarding inventory availability, defective parts, replacement components, vendor credits, and discrepancies.
- Monitor inventory and RMA locations to ensure components are properly stored, labeled, secured, and easily accessible.
- Follow proper handling procedures for sensitive electronic components, including electrostatic discharge precautions.
- Maintain cleanliness and organization throughout inventory, receiving, and vendor RMA areas.
- Follow company procedures related to inventory security, workplace safety, loss prevention, and component handling.
- Perform additional warehouse, receiving, inventory, vendor RMA, and production-support duties as assigned.
Required Qualifications
- High school diploma or equivalent.
- Previous experience in inventory control, receiving, warehousing, manufacturing, vendor returns, or a related position is preferred.
- Experience using NetSuite or another inventory-management or ERP system is preferred.
- Strong attention to detail and commitment to accurate data entry and recordkeeping.
- Basic computer skills and the ability to learn inventory-management and vendor-portal systems.
- Ability to read and understand purchase orders, packing slips, item numbers, serial numbers, inventory reports, and vendor RMA documentation.
- Ability to identify and distinguish between different computer components and hardware.
- Strong organizational, time-management, follow-up, and problem-solving skills.
- Ability to communicate professionally with vendors and internal departments.
- Ability to manage multiple open RMA cases and follow them through completion.
- Ability to work independently while also contributing as part of a team.
- Dependable attendance and the ability to complete assigned responsibilities with minimal supervision.
Physical Requirements
- Ability to regularly lift, carry, move, and organize items weighing up to 50 pounds.
- Ability to stand and walk for extended periods.
- Ability to bend, reach, kneel, push, pull, and use ladders or step stools when necessary.
- Ability to safely package and handle small, fragile, high-value, or defective electronic components.
- Ability to work in a warehouse, inventory, repair, and computer-production environment.
Preferred Qualifications
- Previous inventory or vendor RMA experience within a computer manufacturer, system integrator, electronics company, distributor, or technology-related warehouse.
- Familiarity with computer components such as CPUs, GPUs, motherboards, RAM, SSDs, cooling systems, power supplies, cases, and peripherals.
- Experience with barcode scanners, serialized inventory, cycle counting, inventory reconciliation, warranty claims, vendor returns, and replacement-part tracking.
- Experience working with manufacturer or distributor RMA portals.
- Familiarity with ESD-safe handling and component-packaging procedures.
- Experience researching and resolving inventory discrepancies and vendor claims in an ERP system.
Success in This Position
Success in this role requires accuracy, accountability, organization, persistence, and a strong sense of ownership. The Inventory Control and Vendor RMA Specialist must ensure that physical inventory consistently matches company records, production and repair employees receive the correct components, and defective parts are returned to vendors and replaced or credited in a timely and traceable manner.
Pay: $18.50 - $20.00 per hour
