Full Job Description

DEVELOPMENT OPERATIONS COORDINATOR

The Development Operations Coordinator (DOC) is the central administrator and operational backbone of Sharefest’s development team, while also serving as a key support resource for the program department. The DOC ensures the highest performance across Sharefest’s fundraising strategies—including major giving, grants, annual giving, and corporate sponsorships—by managing data, systems, communications, and donor portfolio logistics. In addition, the DOC serves as a bridge between the development and program teams, supporting a defined set of program administrative functions. The DOC reports to the Director of Development.

Responsible to: Director of Development

MAJOR RESPONSIBILITIES

Development Operations – 75%

Database Management & Reporting

Serve as the primary administrator of DonorPerfect, ensuring accurate, up-to-date donor records, and constituent profiles.
Generate customized queries, reports, and exports for development activities including revenue reports, pledge reports, donor lists, and performance analysis.
Manage segmented lists and donor communications in Constant Contact.
Maintain data hygiene and establish consistent data entry processes across the development team.

Portfolio Quarterbacking & Moves Management

Serve as the portfolio manager for the major gift and corporate sponsorship portfolio, coordinating the activity of the Executive Director and Director of Development.
Lead regular portfolio meetings, update portfolio records, and strategize on moves management touchpoints.
Prepare touchpoint resources, briefing materials, and donor proposals in support of frontline staff.
Track donor engagement and ensure timely follow-up across all portfolio relationships.

Donor Communications & Acknowledgment

Draft and send donor acknowledgment letters, tax receipts, and stewardship communications.
Support the production of the organization’s annual giving calendar across multiple channels and donor segments.
Assist in creating custom donor impact reports and fundraising collateral.
Support the organization’s social media calendar in partnership with the Communications Manager.

Grant Support

Coordinate grant reporting timelines and support the external grant contractor with portfolio management and prospect research.
Compile and complete grant applications, reports and data collection as required.
Manage data entry and tracking cycles for program evaluation and grant compliance reporting.

General Development Administration

Lead and execute administrative, logistical, and communication functions for the development team.
Manage the development team’s prospecting goals by scheduling and executing prospecting strategies for individual and institutional donors.
Assist in creating and updating sponsorship overviews, fundraising materials, and publications.

Program Team Liaison – 25%

Serve as the primary liaison between the development and program departments, facilitating communication and information sharing across teams.
Support volunteer and donor engagement tracking for program activities, maintaining accurate records in the organization’s database.
Coordinate and manage scheduling and calendar logistics for program-related meetings, workshops, and activities.
Provide data entry support for program profiles and evaluations in Apricot or similar platforms during peak cycles.
Assist with the collection and synthesis of data for quarterly grant reporting cycles in coordination with program staff.
Provide general administrative support to the program team as needed, including document preparation, correspondence, and filing.

KNOWLEDGE AND SKILLS

Strong command of donor database platforms, particularly DonorPerfect or related CRM; ability to generate and interpret reports and maintain data integrity.
Proven organizational and project management skills; ability to manage multiple priorities and deadlines simultaneously.
Exemplary attention to detail; must be able to maintain accurate, neat, and easily accessible records.
Strong verbal, written, and interpersonal communication skills; ability to write clear, structured, and professional correspondence.
Creative problem solver with the ability to take initiative and improve systems independently.
Must be able to work effectively with diverse groups including staff, board members, donors, volunteers, and external stakeholders.
Service-oriented attitude with a collaborative approach to cross-departmental work.

QUALIFICATIONS

2–5 years of experience in development operations, fundraising administration, or a related field; nonprofit experience strongly preferred.
Bachelor’s degree required; degree in nonprofit management, communications, business, or a related field preferred.
Proficiency in Microsoft Office Suite: Excel, Word, PowerPoint, Outlook.
Experience with DonorPerfect, Constant Contact, Apricot, or similar platforms preferred.
Ability to work flexible hours; some evening and weekend hours may be required.
Must be able to complete projects that include standing, walking, bending, and lifting of items 20+ pounds, as well as exposure to the elements.
