Position Overview
Apex Skin is a rapidly growing skincare facility that empowers employees to deliver exceptional patient experiences. We are currently looking for a talented candidate for the role of Aesthetic Service Associate. The Aesthetic Service Associate reports directly to the Aesthetic Assistant Manager and is responsible for delivering an exceptional patient experience while supporting front desk operations, scheduling optimization, retail performance, and overall clinic efficiency.
Schedule
- Full-Time 8:00 AM – 4:30 PM [Mon-Fri]
- Schedules are subject to change based on clinic needs
- Flexibility to travel to locations within a 20-mile radius to support clinical coverage as needed
Essential Functions
Patient Experience & Front Desk Operations
- Deliver an exceptional, welcoming patient experience from check-in through checkout.
- Accurately manage patient check-in, check-out, scheduling, and account documentation.
- Answer questions regarding services, products, promotions, and appointments.
- Address patient concerns professionally and escalate when appropriate.
- Maintain a clean, organized, and professional front desk environment.
Scheduling & Phone Management
- Answer inbound calls promptly with professionalism and excellent customer service.
- Schedule appointments accurately while optimizing provider utilization.
- Communicate appointment details, policies, and next steps clearly.
- Manage appointment confirmations, cancellations, rescheduling, and waitlists.
- Maintain accurate scheduling records and patient information.
Retail Performance & Patient Education
- Educate patients on skincare products, services, memberships, and promotions.
- Recommend retail products that support treatment plans and patient goals.
- Support retail sales and membership growth through patient education and engagement.
- Maintain knowledge of current products, services, and promotional offerings.
Clinic Operations & Team Support
- Support providers and clinic operations to ensure efficient patient flow.
- Assist with treatment room turnover and clinic readiness as needed.
- Follow established workflows, policies, and operational standards.
- Adapt to daily clinic needs while maintaining professionalism and teamwork.
Lead Management & Schedule Optimization
- Complete assigned patient outreach through phone, text, and email.
- Work lead lists and schedule-fill initiatives to maximize provider utilization.
- Document outreach activities and patient follow-up accurately.
- Support patient retention and clinic growth initiatives.
Professionalism & Team Collaboration
- Represent Apex Skin with professionalism, integrity, and a patient-first approach.
- Demonstrate accountability, initiative, and strong teamwork.
- Maintain patient confidentiality and compliance with company policies.
- Participate in ongoing training and contribute to a positive clinic culture.

- 2+ years of experience as a Medical Receptionist or Sales Associate (dermatology experience is a plus)

Physical Requirements & Work Environment
- Prolonged periods of sitting at a desk and working on a computer, with frequent standing, walking, and movement within the office
- Manual dexterity for typing, data entry, and handling office equipment
- Ability to speak clearly, hear callers, and interact with patients in person
- Visual acuity sufficient to read patient information and EMR screens
- Ability to occasionally lift up to 20 pounds (e.g., office supplies)
- Work performed in a professional medical office setting with regular interaction with patients, providers, and staff
- Fast-paced environment requiring multitasking, attention to detail, and calm communication
- Exposure to cleaning supplies, office equipment, and moderate noise levels
- Must adhere to all health and safety policies, including infection control standards

Employee Health & Safety Requirements:
All patient-facing employees are required to provide proof of a TB test within the past 12 months and an annual flu vaccination as part of Apex Skin’s employee health and safety protocols. The Hepatitis B vaccination series is also strongly recommended for clinical staff due to potential occupational exposure risks.
