Position Summary
We are seeking a versatile Office Administrator & Bookkeeper to serve as the backbone of our daily office operations. The ideal candidate will possess a strong foundation in bookkeeping, hands-on experience with QuickBooks, and the ability to generate clear financial reports for management. In addition to financial duties, this role involves managing the front office, invoicing clients, maintaining organized filing systems, and preparing essential documents to support our care facilities.
Key ResponsibilitiesBookkeeping & Financial Management
· Client Invoicing & Payment Tracking: Generate and issue accurate invoices to clients and track incoming payments.
· Accounts Payable & Receivable: Process, verify, and reconcile all AP and AR transactions across our multiple entities.
· QuickBooks Management: Maintain accurate and up-to-date financial records using QuickBooks.
· Financial Reporting: Generate monthly, quarterly, and annual financial reports (e.g., P&L, balance sheets) to assist management in business planning.
· Reconciliation: Perform regular bank and credit card reconciliations to ensure financial accuracy.
Office Administration & Support
· Office Management: Facilitate front office operations, serving as the first point of contact for incoming calls, mail, and visitors.
· Document Preparation: Handle data entry, encoding, and the drafting of general correspondence, memos, and reports.
· Filing & Organization: Create and maintain physical and digital filing systems for financial records, employee files, and facility documents.
· General Support: Monitor and order office supplies, maintain office equipment, and assist management with day-to-day administrative tasks as needed.
Qualifications & Requirements
· Experience: Proven experience as a Bookkeeper, Office Administrator, or in a similar dual-role capacity.
· Technical Skills: High proficiency in QuickBooks is required. Strong working knowledge of Microsoft Office (Excel, Word) or Google Workspace.
· Financial Acumen: Solid understanding of basic bookkeeping, invoicing cycles, and accounting payable/receivable principles.
· Attention to Detail: High degree of accuracy in data encoding and financial reporting.
· Organizational Skills: Ability to multitask, prioritize tasks, and manage time effectively across multiple small companies.
· Communication: Excellent written and verbal communication skills.
· Preferred: Previous administrative or bookkeeping experience within a healthcare, medical, or care facility setting.

· Competitive salary of $25.00 per hour (commensurate with experience and QuickBooks proficiency).
