Job Overview
We are seeking a dynamic and highly organized Construction Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our construction projects, ensuring smooth daily operations and seamless communication across teams. Your energetic approach and meticulous attention to detail will help keep projects on track, clients satisfied, and office functions running efficiently. This paid position offers an exciting opportunity to develop your administrative skills within a fast-paced construction environment.

General Description:

As Construction Administrative Assistant you will provide administrative support for the Chief of Operations, Chief of Staff, and the Operations Coordinator and Human Resources Officer. The detail-oriented candidate will provide support with duties such as administrative duties, construction project assistance, track construction progress payment applications and change orders (AIA forms), closely work with the accounting department regarding construction projects and property management issues, track vendor and subcontractor lien waivers, track vendor and tenant certificates of insurance, track tenant certificates of occupancy, assist in lease administration, and working on special projects as needed. This role will deal with a diverse group of external vendors, contractors, industry professionals, and tenants. Must be service-oriented, have great communication skills, and a positive demeanor. Independent judgment is required to plan, prioritize, and organize diversified workload. Confidentiality and discretion are required at all times.

Responsibilities:

· Support department through administrative duties.
Answers and screens incoming phone calls.
Maintains electronic/paper filing systems for department documents.
Assist in the bid process.
Track and oversee the processing of change orders and construction pay applications (AIA forms) to ensure accuracy.
Work closely with accounting to track costs associated with construction projects.
Ensure all closeout documentation is received.
Track time sensitive document approvals.
Understand and provide comment on commercial leases.
Attend offsite and virtual meetings.
Requests and maintains insurance certificates from vendors and tenants.
Requests and maintains occupancy certificates for tenants.
Contributes to team effort.
Communicates and coordinates with high-touch clients and a variety of professionals including engineers, architects, project managers, subcontractors, legal counsel, brokers, etc.
Updates company website as needed.
Completes other related duties and special projects as assigned.

Requirements:

High school diploma or equivalent; college education preferred.
Construction accounting experience preferred.
Excellent communication and interpersonal skills.
Strong organizational and time management skills.
Strong knowledge of Microsoft Office.

Pay: From $60,000.00 per year
