We are entering an important stage of growth and are looking for an experienced Spa Manager / Practice Manager to lead daily operations, build a high-performing team, improve sales and patient conversion, and help scale the practice.
This is not a passive administrative position. We are looking for a motivated, hands-on leader who takes ownership, solves problems, implements systems, and is excited about helping grow a medical aesthetics business.
What You’ll DoPractice Operations
- Oversee the day-to-day operations of the medical spa.
- Ensure the practice runs smoothly, professionally, and efficiently.
- Coordinate provider schedules, staffing, treatment-room utilization, and patient flow.
- Implement and maintain operational policies, employee handbook requirements, SOPs, checklists, scripts, and workflows.
- Identify operational problems early and develop practical solutions.
- Ensure opening, closing, inventory, documentation, and administrative responsibilities are completed consistently.
- Reduce unnecessary operational issues that require owner involvement.
Team Leadership
- Recruit, onboard, train, coach, and manage front-desk staff, providers, and support team members.
- Build a professional, accountable, and growth-oriented workplace culture.
- Set clear expectations and performance goals for each team member.
- Conduct regular staff meetings, individual check-ins, and performance reviews.
- Address employee performance, attendance, communication, and accountability concerns promptly.
- Help develop a strong team that follows systems and works toward shared practice goals.
Sales and Practice Growth
- Help increase revenue, provider productivity, and treatment-room utilization.
- Manage the patient conversion process from initial inquiry through booking, consultation, treatment-plan acceptance, rebooking, retention, and referral.
- Train and coach the front-desk and provider teams on ethical sales, treatment-plan communication, memberships, packages, financing options, and follow-up.
- Ensure prospective patients are contacted promptly and consistently.
- Monitor open treatment plans, missed opportunities, cancellations, no-shows, and patients without future appointments.
- Support membership growth, package sales, referral programs, patient reactivation, and retention initiatives.
- Create action plans to help providers build and maintain productive schedules.
Marketing Coordination
- Work closely with ownership and marketing leadership to align advertising with available providers, services, and appointment capacity.
- Ensure the team understands current promotions, pricing, eligibility requirements, and scheduling instructions.
- Track how leads progress from inquiry to booking, completed appointment, and collected revenue.
- Provide feedback on lead quality, campaign performance, scheduling capacity, and patient demand.
- Support local partnerships, events, referral initiatives, reviews, and community outreach.
- Ensure marketing activity produces measurable appointments and revenue—not only online engagement.
Patient Experience
- Maintain a consistent, professional, and welcoming patient experience.
- Monitor phone calls, lead follow-up, appointment scheduling, check-in, checkout, payment, rebooking, and post-treatment communication.
- Ensure patients receive accurate information about treatments, pricing, memberships, packages, financing, and recommended next steps.
- Respond to patient concerns professionally and coordinate service recovery when appropriate.
- Identify patterns in patient complaints or dissatisfaction and correct the underlying operational issues.
- Support patient retention, referrals, online reviews, and long-term relationships.
Financial and Performance Management
- Monitor daily and monthly revenue performance, collections, labor costs, cost of goods, inventory, discounts, refunds, and operating expenses.
- Ensure invoices are completed and payments are recorded accurately.
- Monitor inventory usage, ordering, reconciliation, waste, and unexplained variances.
- Help protect profitability while supporting responsible growth.
- Review practice KPIs and identify areas that require immediate action.
- Support cash-flow planning by identifying upcoming payroll, inventory, marketing, and operational needs.
- Provide leadership with clear and accurate performance reports.
Reporting to Leadership
- Provide concise weekly updates regarding operations, staffing, sales, patient experience, financial performance, and practice growth.
- Present problems with recommended solutions and clear next steps.
- Escalate significant clinical, legal, financial, compliance, employee, or patient concerns promptly.
- Follow through on leadership decisions and ensure assigned projects are completed on time.
- Help remove ownership from routine day-to-day operational management.
What We’re Looking For
- At least three years of experience as a Practice Manager, Spa Manager, or comparable practice leadership position.
- Preferred management experience in a:
- Medical spa
- Dental practice
- Dermatology practice
- Plastic surgery practice
- Demonstrated experience managing employees, schedules, operations, patient experience, and practice performance.
- Strong leadership skills with the ability to set expectations and hold employees accountable.
- Experience improving sales, patient conversion, retention, or provider schedule utilization.
- Understanding of practice revenue, labor costs, inventory, cost of goods, and operating profitability.
- Strong organizational, communication, and problem-solving skills.
- Comfortable working with practice-management software, scheduling systems, CRM platforms, POS systems, spreadsheets, and performance reports.
- Able to work independently and make sound decisions within established policies.
- Calm, professional, and emotionally steady when handling employee or patient concerns.
- Motivated by measurable growth and long-term practice development.
- Willing to be actively involved in daily operations rather than managing only from an office.

The ideal candidate has successfully helped grow or improve a medical, dental, or aesthetic practice. You understand how staffing, scheduling, sales, marketing, patient experience, inventory, and financial performance work together.
You do not simply maintain existing operations. You enjoy building teams, implementing systems, improving performance, and taking responsibility for results.

Schedule & Growth
- Full-time leadership position.
- Availability may include some evenings and Saturdays based on practice needs.
