Full Job Description

Position Summary

We are looking for a proactive and enthusiastic self-starter to join our team! This role serves as a key partner to leadership, employees, and cross-functional teams by providing administrative support, coordinating onboarding activities, and support community initiatives.

Position Details

Support the union and non-union onboarding processes, including completing forms, ordering IT equipment, scheduling orientations, troubleshooting, and preparing first-day materials.
Serve as the first point of contact for general office support, providing guidance and redirecting questions as needed.
Facilitate cross-functional team meetings and coordinate logistics.
Oversee office and break areas, including ordering supplies, coordinating vendors, and scheduling maintenance as required.
Manage company swag inventory and distribution.
Plan and host employee activities, community engagement, and team-building activities.
Create and maintain weekly, monthly, and quarterly reports
Schedule interviews and book travel
Assists in setting up projects and mobilization/demobilization
Log training for new hires, and provide backup support for employee onboarding
Perform additional administrative duties as needed to support division operations.

Qualifications

Associate's degree (A.A.) or equivalent from a two-year college or technical school, or six months to one year of relevant experience and/or training, or an equivalent combination of education and experience.
Minimum of 5 years’ experience in an administrative, accounting, or HR support role
Strong proficiency with Microsoft Office
Exceptional organizational skills and strong attention to detail.
Excellent written and verbal communication skills.
Capable of prioritizing tasks and handling multiple responsibilities.
Strong event planning and organizational abilities.
Ability to build and maintain positive working relationships across teams and departments
