Preconstruction Coordinators / Estimators are responsible for managing the estimating and preconstruction process for commercial construction projects from initial bid opportunity through project turnover. The
Preconstruction Coordinator / Estimator analyzes project documents, prepares accurate cost estimates, solicits and evaluates subcontractor and supplier pricing, coordinates preconstruction activities, develops competitive proposals, and supports a seamless transition of awarded projects to operations.
This position requires exceptional analytical, organizational, communication, and problem-solving skills, along with the ability to manage multiple bid opportunities simultaneously while meeting strict deadlines. The
Preconstruction Coordinator / Estimator works closely with clients, Project Managers, subcontractors, suppliers, architects, engineers, and Company leadership to ensure projects are accurately estimated, properly planned, and positioned for successful execution.
This position is primarily office-based; however, occasional travel is required to the Company's office, project sites, customer locations, subcontractor and supplier facilities, and other construction-related locations. Site visits are performed to verify existing conditions, evaluate constructability, support estimating accuracy during preconstruction, assist with value engineering, and provide estimating support for change orders and project modifications during construction.
- Review project plans, specifications, contract documents, and bid requirements.
- Perform accurate quantity takeoffs and labor, material, equipment, and subcontract cost estimates.
- Develop complete estimate packages, budgets, proposals, and supporting bid documentation.
- Ensure estimates accurately reflect project scope, contract requirements, and Company standards.
- Meet all bid deadlines while maintaining estimate quality and accuracy.
- Review plans, specifications, bid documents, and contract requirements.
- Review, evaluate, and incorporate all addenda, revisions, clarifications, and supplemental information issued during the bidding process.
- Identify scope gaps, conflicts, omissions, and potential project risks.
- Coordinate internal reviews to ensure a complete understanding of project requirements prior to bid submission.
- Solicit pricing from qualified subcontractors and suppliers.
- Evaluate quotations for completeness, scope coverage, and competitiveness.
- Develop and maintain strong relationships with subcontractors, suppliers, and vendors.
- Negotiate pricing and clarify scopes of work as necessary.
- Coordinate subcontractor participation throughout the bidding process.
- Analyze project costs and identify opportunities for value engineering.
- Recommend cost-saving alternatives while maintaining project quality and client expectations.
- Maintain historical pricing information and estimating databases.
- Monitor market trends affecting labor, material, equipment, and subcontract costs.
- Prepare professional bid proposals, estimate summaries, and supporting documentation.
- Coordinate bid submissions and ensure compliance with owner requirements.
- Assist with negotiated work, budgeting, and conceptual estimating.
- Support management during bid presentations and negotiations as needed.
- Coordinate preconstruction activities with Project Managers, clients, architects, engineers, subcontractors, and suppliers.
- Assist in project budgeting, scheduling, procurement planning, and project startup activities.
- Manage bid schedules, plan distribution, and document control throughout the estimating process.
- Communicate estimate assumptions, inclusions, exclusions, and project risks to operations personnel.
- Facilitate the successful transition of awarded projects from estimating to operations.
- Conduct job site visits to verify existing conditions, field dimensions, access, logistics, and constructability prior to bid submission.
- Visit active project sites, as needed, to support pricing of change orders, project modifications, unforeseen conditions, and additional work.
- Coordinate with Project Managers, Superintendents, clients, architects, engineers, and subcontractors to ensure field conditions are accurately reflected in estimates.
- Document field observations and incorporate verified site conditions into project estimates, proposals, and change order pricing.
- Assist Project Managers with pricing, preparation, negotiation support, and documentation of change orders.
- Provide estimating support throughout project execution as requested.
- Assist in evaluating cost impacts associated with project modifications and scope changes.
- Assist Company leadership in evaluating, selecting, implementing, and optimizing estimating software, digital takeoff tools, and other preconstruction technologies.
- Participate in the development and continuous improvement of the Company's estimating processes, procedures, and best practices.
- Develop and maintain historical cost databases, production rates, unit pricing, subcontractor pricing, and estimating reference materials.
- Assist in establishing standardized estimating templates, bid forms, proposal formats, and documentation procedures to improve consistency and efficiency.
- Identify opportunities to improve estimating accuracy, productivity, reporting, and collaboration through technology and process improvements.
- Support the integration of future estimating systems with project management, accounting, and document management processes as the Company continues to grow.
- Maintain complete estimating files and bid documentation.
- Update historical pricing records, estimating reference information, and bid tracking logs.
- Track bid results and analyze estimate performance.
- Utilize Company estimating, document management, and project management systems effectively.
