Position Summary
The Office Professional provides high-level administrative and operational support directly to the Director of Business and Financial Operations. This is a dynamic role ideal for a proactive problem-solver who enjoys a mix of community interaction, financial task management, and logistical coordination. You will serve as a key point of contact for families, vendors, and district staff while helping our business office run seamlessly.
Key Responsibilities
Transportation Coordination & Communication
- Serve as the primary Central Office contact for families regarding transportation inquiries.
- Coordinate route and schedule changes directly with the transportation depot.
- Act as the initial point of contact for any transportation accidents or immediate issues.
- Partner with leadership on continual improvement initiatives for district transportation.
Cash Receipts & Student Fees
- Manage student fees, including processing adjustments and updates within PowerSchool.
- Handle family-paid tuition contracting, billing, and collections.
- Record and process Board of Education (BOE) cash receipts and prepare official deposits for the town.
Purchasing & Administrative Support
- Process Central Office expenditures and purchase orders.
- Provide dedicated administrative and operational support to the Communications Department.
- Coordinate building and facility rentals for community and school events.
Compliance & Document Retention
- Collect, review, and maintain Certificates of Insurance (COI) from vendors and renters.
- Maintain organized, secure records of Central Office contracts and business office documents.
Flexible & Collaboration Support
- Provide "as-needed" operational support to the High School (PHS) Business Office.
- Assist with special administrative projects as directed by the Director.
Growth & Strategic Projects

- Financial Reporting: Assisting with monthly and year-end financial reporting processes.
- Process Improvement: Collaborating on workflows to transition the district toward cashless and paperless operations.
- Asset & HR Support: Assisting with District Asset Management and supporting transactional HR processing.
- Systems & Backup: Providing backup support for Accounts Payable (Town and Board) and utilizing ADMINS software.
- Internal Controls: Supporting segregation of duties initiatives, specifically regarding cash handling at the high school level.
Qualifications
- Education & Experience: High school diploma required (Associate/Bachelor's in business or accounting preferred); prior administrative, financial, or school district/municipal experience is a major asset.
- Financial & Tech Skills: Comfort with basic bookkeeping, secure cash handling, and database management (PowerSchool or ADMINS experience is highly desirable). Must be tech-savvy and eager to support digital, paperless workflows.
- Communication: Exceptional customer service skills to serve as a reassuring point of contact for families, with the ability to handle sensitive situations (like transportation issues or fee collections) professionally and empathetically.
- Organization & Versatility: Sharp attention to detail for managing contracts and compliance documents (COIs). Ability to multitask, pivot between different departments, and handle confidential data with strict discretion.

- Handle incoming inquiries via phone, email, or in person, providing excellent customer service and client communication
- Maintain accurate records through data entry, filing, and document proofreading to ensure confidentiality and data integrity
- Utilize QuickBooks for bookkeeping tasks such as invoicing, expense tracking, and financial record management
- Support office management activities including scheduling appointments, organizing meetings, and coordinating office supplies
- Assist with clerical duties such as typing correspondence, preparing reports, and managing confidential information with discretion
- Oversee general office functions to promote efficiency, including handling incoming mail, managing office equipment, and supporting team members as needed
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent computer literacy and data entry skills
- Experience using QuickBooks or similar accounting software for bookkeeping tasks
- Exceptional phone etiquette skills with the ability to operate multi-line phone systems confidently
- Bilingual abilities are highly preferred to support diverse client interactions
- Strong clerical experience including filing, proofreading, and handling confidential information securely
- Excellent time management skills with the ability to prioritize tasks effectively in a fast-paced environment
- Previous personal assistant or customer support experience is a plus but not required
