What does the Accounting Admin/Office Clerk do?

The Accounting Admin/Office Clerk is ultimately responsible for the success of the office and is required to meet, manage, and maintain the expectations of the business. This team member will ensure the office is operating efficiently and all administrative tasks are completed on time.

Accounting Admin Responsibilities:

Input overhead office expenses as needed.
In charge of applying for licenses out of state and keeping records.
Assist with reconciliation of credit card statements.
Process overhead customer payments as needed.
Assist with compliance matters and waivers.
Assist with month end close.
Manage coordination with vendors and suppliers to ensure all are in place for fully functional office.
Book travel for new candidates.
Manage Airbnb and bookings for field staff.
Coordinate with IT and Director of Safety to provide support to field personnel.
Maintain inventory of office supplies; order supplies as needed.
Coordinate with Controller to provide support to Accounting Team

Office Clerk Responsibilities:

Manage all mail: collection, distribution, and shipments – via FedEx, UPS, or USPS
Manage front desk and phone lines, and be the point person for maintenance, mailing/shipping, office supplies, and errands.
Manage preparation and logistics for all meetings (in-person and virtual) with clients, guests, and visiting team members.
Maintain office files.
Manage office community spaces for cleanliness and functionality: Reception area, breakroom, coffee bar, and conference rooms.
Coordinate lunch for office staff/meetings when needed.
Coordinate with the IT department on equipment setup for all new hires.
Coordinate with HR onboarding new hires.
Coordinate with HR to manage birthday/anniversary and email shout outs.

Perform other related duties as assigned
